Field Representative II, Concierge Hospitality

POSITION PROFILE

This position will work closely with office administration to ensure we represent the customer's culture to the external world. This position includes, but is not limited to, greeting outside callers/clients, managing conference room scheduling, preparing for key client visits (signage, work-space prep, etc.), and handling client travel arrangements where necessary. This individual would also be charged with assisting with any group company activities - - parties, group functions, department meetings, etc. This position reports directly to Site Manager or Assist Site Manager, depending on site personnel configuration.

JOB DUTIES AND RESPONSIBILITIES
  • Ensure that at all times all areas of our entire premises are maintained in function and appearance as vital parts of a first-class facility, in full accordance with all established safety, housekeeping and brand promotion standards.
  • Complete the daily checklist form and inventory form.
  • Work with business leaders to proactively ensure all facility requirements have been addressed (including communications, signage, equipment,A/V, stage, chairs, etc)
  • Oversee and liaise with coffee vendors & janitorial, to monitor efficient and effective performance in maintaining a first-class office environment.
  • Maintain adequate stock levels of office supplies, coffee supplies, and janitorial supplies on an ongoing basis
  • Conduct Workplaces Tours and Orientations for new hires as part of Onboarding process.
  • Greet visitors/guests
  • Serve as company concierge regards to guests, clients, staff, recommendations for hotels, restaurants, points of interest, etc
  • Ensure that each conference room has necessary supplies and set up prior to meeting times
  • Partner with IT in ensuring AV equipment setup for meetings
  • Assist with daily management of facilities
  • Maintain Workplaces Request Form (Facilities ticketing system) and execute all requests in a timely manner.
  • Work with corresponding Workplaces team members to ensure completion rate of 24-48 hours.
QUALIFICATIONS (Education, Experience and Certifications)

Typically Requires:
  • Requires high school diploma or equivalent
  • Requires 1-3 years of experience in the field or in a related area.
  • Experience working in Headquarters environment preferred
KNOWLEDGE, SKILLS AND ABILITIES

• Outstanding organization and coordination skills

• Demonstrated customer service skills

• Good PC inclusive of Microsoft suite skills

• Good problem-solving skills

• Ability to use audio visual equipment

• Minimum supervision/oversight required
