Job Description

We are seeking a dedicated Billing Coordinator who will play a crucial role in understanding sales processes and systems, resolving sales contract issues, and managing contract administration. The role involves preparing and distributing weekly billing and financial reports, reconciling financial reporting, ensuring data integrity, and continuously seeking process improvements.


Responsibilities

  • Work with account executives to resolve sales contract issues with the Shared Service Center (SSC).
  • Resolve contract/billing discrepancies promptly by conducting research and partnering with internal resources.
  • Manage the contract administration process and support the collections process, including follow-up for appropriate documentation and approvals.
  • Prepare and distribute weekly billing and financial reports.
  • Reconcile financial reporting and/or systems.
  • Ensure data integrity and accuracy in all reporting.
  • Maintain documentation and continuously look for process improvements.
  • Complete ad-hoc financial analysis and assist with month-end close procedures.
  • Assist in Payroll review process by verifying employee payroll information for commissions, bonuses, and payroll exceptions.
  • Assist in managing day-to-day office administrative activities for the branch.
  • Serve as a backup for the print production coordinator, placing production orders and managing project workflows.
  • Work with Sales & Operations teams to ensure orders are executed, tracked, and issues are resolved or prevented.

Essential Skills

  • Strong attention to detail.
  • Ability to interpret and verify documents.
  • Familiarity with version control and document management systems.
  • Understanding of basic accounting principles.
  • Experience with CRM or ERP systems.
  • Strong organizational skills and attention to data integrity.
  • Familiarity with tools like Salesforce, Workday, and Microsoft Excel.

Additional Skills & Qualifications

  • Degree in business or related field preferred but not required.
  • Technically savvy.

Work Environment

The first month of this position is fully onsite. After the first month, the role transitions to a hybrid schedule, requiring onsite presence on Monday, Wednesday, and Friday.

This is a Contract to Hire position based out of Torrance, CA.
