The Project Coordinator will provide project and administrative support to a team of designers and architects for an interior design and architecture firm.

The ideal candidate will bring their enthusiasm and energy to their project team and be prepared to learn our firmwide practices for project administration, database tracking and external client communications.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, other duties may be assigned.

• Respond and follow-up with clients, vendors and business partners as needed on behalf of the Project Manager(s), project team and functional groups.

• Assist Project Manager(s) in achieving financial targets and Company initiatives.

• Assist the Project Manager(s) in the development, implementation and execution of business leads, contact follow-up and meeting logistics.

• Act as a liaison between clients and internal staff by disseminating information appropriately.

• Perform billable aspects of a project that may require client interface, such as assisting with opening new project numbers, city submittals, accompany team to project meetings, transcribe meeting notes, administering transmittals and mailings.

• Maintain a record of project team activities, touchpoints and client relationship management.

• Assist in the coordination, organization and tracking of multiple project team activities and efforts.

• Provide administrative support to the firm, office and project team.

• Support efforts to achieve financial targets and company objectives.

• Resolve client billing issues and A/R collections.

• Attend industry events as necessary.

• Serve as an internal resource to help project teams adhere to firmwide policies, standards and procedures.

• Act as a firm advocate for company changes, policy feedback and firmwide initiatives.

• Prepare research as required for the development, implementation and execution of specific initiatives.

• Assist with answering phones as needed.

• Provide auxiliary support to additional project teams as necessary.

Additional Skills & Qualifications:

• Bachelor’s degree (B.A.) or equivalent experience.

• 3+ years of recent project coordination and/or administrative professional experience, preferably in architecture, interiors or construction firms.

• Deltek Vision and Newforma experience is required or experience with similar project-based ERP software.

• Advanced proficiency in MS Office (MS Word, Excel, PowerPoint) BlueBeam or Adobe Acrobat

• Ability to work overtime on an as needed basis.

• Amicable and professional demeanor with the ability to interact with a variety of individuals both in and outside the firm.

• Ability to problem-solve, both individually and as part of a project team.

• Able to work independently with minimal guidance and a motivated self-starter.

• Not afraid to ask questions and utilize internal resources available to assess an appropriate solution.
