A major sportswear company in Beaverton, OR is seeking to add a project coordinator/move coordinator to their team!

Pay based on experience.

The project coordinator will be responsible for sustaining moves and projects. Works as part of the project team to deliver excellent customer service and increase data accuracy for planning purposes. Acts as the liaison between the customer and key

stakeholders providing relocation assistance across campuses

Description:

Works as part of the project team to deliver excellent customer service and increase data accuracy for planning purposes. Acts as the liaison between the customer and key stakeholders providing relocation assistance across campuses.

Move Management

  • Successfully manage and be the single point of contact for moves up to 500 people.
  • May include meetings with Space Planner, customer contact(s), and multiple vendors
  • Complete site verification: job walks, assess origin and destination workstations, offices, common areas, storage rooms and docks
  • May assist Move Manager in larger relocations
  • Receive and process daily client move requests
  • Site verify data provided in move requests to provide accurate information to move vendors
  • Coordinate move details with project manager and construction manager as required
  • Complete data entry into the CAFM system to maintain occupancy information
  • Coordinate supporting suppliers (move labor, technology, telephony, furniture, etc.)
  • Participate in weekly planning meetings hosted by the move manager, occupancy planning or other key stakeholders
  • Initiate meetings to review scope, schedule, budget with move vendors and key stakeholders and obtain estimates
  • Incorporate “best practices” into move projects
  • Assist teams to meet schedule deadlines
  • Requires physical presence to escort vendors into secured areas for the duration of the project
  • Ensure move processes are managed in accordance with the client’s and JLL’s policies and procedures
  • May require physical presence for the duration of the project
  • Process requests in CAFM system to develop move lists; review and correct move lists for accuracy; distribute move lists to clients, move vendors, and other key stakeholders
  • Work order and small project management, including but not limited to furniture reconfigurations and space enhancements
  • Review and approve move project invoices
  • Ensure data is accurately maintained on client CAFM system
  • Provide timely and consistent customer service that will reflect in customer survey results

Additional Skills & Qualifications:

  • Looking for candidates that have project coordination experience, commercial planning experience, or administrative experience with an office move or coordinating events.
  • This team is tight knit and they are looking for team members who are positive, outgoing, collaborative and excited for the opportunity to be on your feet all day and work with others.
  • Ability to utilize the Microsoft Office suite of technologies, with strong skills in Word, Excel, Smartsheets and Outlook
  • Ability to multi-task and work both in a team and independently
  • Strong interpersonal skills with the ability to interact with executive level internal & external clients
  • Organizational & detailed-oriented with the ability to prioritize and manage differing needs of the business.
