Skills & Qualifications:

- Must have experience with Bluebeam scheduling software or Adobe

Looking for experienced construction project coordinators
Answering phones promptly in a professional manner and assisting Service Dispatchers in handling their telephone overflow. This includes coordinating with the Dispatchers when leaving the area to ensure that the phones are covered at all times.
Supporting the Dispatcher and Assistant Dispatchers as needed with customer service calls, calls from the field, and calls regarding deliveries. Also assisting with billings and tracking and filing of service calls.
Typing as needed. Most typing will be for the Service Dispatcher and Assistant Dispatchers. Typing will include letters, quotes/scopes, memos, manpower and tool lists, material database, panel schedules, service agreements, etc.
Follow-up paperwork needed to Temporary Purchase Order revisions, including matching the vendors’ packing slips and invoices with the appropriate Temporary Purchase Order, and contacting vendors to expedite their paperwork
Recreating forms and documents electronically as needed.
Creating forms/test reports electronically (Microsoft Excel spreadsheets, Microsoft Project schedules, Microsoft PowerPoint presentations, Microsoft Word, Bluebeam documents, etc.)
Assisting department personnel in expediting paperwork.
Scanning of documents and photos, downloading electronic files in various formats both from email and electronic equipment (digital camera, infrared camera, etc.)
Printing architectural/electrical drawings to local plotter
Pulling work order numbers as needed.
Assist with coordination of all service work including Service Calls, Time and Material, testing schedules, and quoted work on daily basis
Create invoices for completed work and bill customers accordingly for all service centers
Perform collection efforts for unpaid invoices for all service centers
Managing multiple projects and deadlines with ability to prioritize and complete tasks.
Attend monthly department meetings.
Attend monthly financial meetings.
Assist as a backup to the SPS Dept. admin as needed
Working knowledge and use of Microsoft Office Power Point, Word, and Excel applications.
Basic use capabilities of ACCUBID and/or related Estimating software systems (preferred but not required)
Working knowledge of Viewpoint or similar accounting software or related accounting system (preferred but not required)
Experience organizing, scheduling, and managing diverse projects.
Excellent verbal and written communications skills.
