Administrative Assistant (Contract)
Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.
Summary:
This position provides critical administrative and operational support within a dynamic software engineering organization. The role serves as a key liaison between leadership and the broader engineering team, ensuring seamless day-to-day operations through expert calendar coordination, team support functions, and equipment management. This individual will perform a variety of complex administrative functions for all levels of management including external business partners, managing schedules, coordinating travel arrangements, and processing business expenses. The position requires someone who can confidently manage competing priorities, build strong working relationships across teams, and handle conflict with professionalism and tact. Success in this role demands the ability to hit the ground running with minimal ramp-up time while maintaining the authority to manage stakeholder expectations effectively.

Job Responsibilities:
- Manage complex calendars for leadership, including scheduling, prioritizing, and moving meetings based on business needs
- Coordinate team support functions and facilitate communication across the engineering group
- Oversee equipment management including requests, ordering, and distribution for team members across multiple locations
- Coordinate meetings and events for the department and external business partners
- Arrange travel logistics and process business expense reports
- Manage procurement of goods and services including computer equipment, office supplies, and reference materials
- Maintain vendor relationships and coordinate facility operations
- Serve as the primary department and group contact for administrative matters
- Support department financial operations and personnel operations
- Complete special projects as assigned
- Provide general office support to ensure smooth daily operations
- Proven experience in calendar support and complex schedule management
- Demonstrated background in team support or administrative coordination
- Experience providing administrative support to leadership or management
- Track record of handling competing priorities in fast-paced environments
- Expert-level calendar management and scheduling coordination
- Strong proficiency in Microsoft Office suite
- Exceptional customer service and interpersonal communication abilities
- Conflict resolution and diplomatic problem-solving skills
- Advanced prioritization and task management capabilities
- Ability to manage expectations and confidently decline inappropriate or unfeasible requests
- Strong rapport-building skills across diverse teams and stakeholders
- Excellent organizational skills with attention to detail
- Ability to work independently with minimal supervision

- Duration: 2 months
- Pay Range*: $24.50 - $28 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
