Description:

A leading biopharmaceutical company is seeking a senior admin for a 4-month hybrid role. To be successful in this role you will need to be flexible, self-motivated, detail-oriented, provide exceptional support, and be able to manage confidential information for the support of a Vice President and two Executive Directors and their divisions. You will need to be a positive and professional role model in the organization and possess strong decision-making skills, be forward-thinking, collaborative, and have a reputation for problem-solving and troubleshooting in an evolving business environment.


Principal Responsibilities:


• Primary support for the Vice President of Market Access & Evidence Strategy and secondary support for the Executive Director, Global Market Access and the Executive Director, Global HEOR and their teams. You will be responsible for creating and maintaining the rhythm of the business through proactive planning and execution of administrative support to ensure a seamless experience for leadership and all employees within the division. This will include your personal participation in strategic and sometimes operational meetings

• Manage and maintain VP's complex calendar on a daily, monthly, quarterly, and annual basis to ensure accurate scheduling and prioritization

• Manage and maintain ED's complex calendar on an as needed basis to ensure accurate scheduling and prioritization

• Organize complex domestic and international travel, which requires assembling travel packets and arranging all travel logistics

• Manage multiple department budgets and expenses in compliance with company policy; review and approve invoices and account reconciliation. Also includes timely preparation of expense reports

• Adhere to and execute administrative procedures for the team to stay within corporate policy

• Responsible for flawless planning and execution of onsite and offsite meetings, events, and conferences

• Assist employees with conference registration and help maintain professional memberships, contact databases, and group rosters for subscriptions

• Ensure a positive employee experience through the successful onboarding of new hires by making sure all necessary documents and office equipment are in place

• Backup support for other admins within the team

• Collaborate with other administrative staff to support department and/or company-wide events and various other initiatives as needed

• Assist with other projects and work as needed and assigned

Additional Skills & Qualifications:

Qualifications:

• 5-7 plus years in an administrative role supporting senior management in a fast-paced, technology-driven environment

• [Highly Preferred] Other job titles than admin as it shows that the candidate is versatile (the HM who is the current EA used to be a PM)

• Very strong calendaring and scheduling experience (supporting multiple people on the calendar, booking catering, meeting space, conference rooms...etc.)

• Someone who can handle different types of personalities as the 3x direct reports will have very unique individual personalities

• Someone who is not job hoppy (or contract-heavy) and shows longevity per company

• Must be comfortable supporting and managing multiple time zones (some support will be in the E.U.)

• Highly proficient in MS Office products (Outlook, Word, Excel, and PowerPoint)


Education:

• Associates degree (or equivalent work experience) with 5+ years of experience required

• Bachelor’s degree preferred

Location: Bothell, WA Hybrid

Duration: 4 months

Pay: 32-35 an hour

Compensation is tied to the Colorado and Washington markets for jobs performed in Colorado and Washington. Other locations may be subject to variances based on location-related factors.
