Job Description
The Logistics Specialist is responsible for executing customer vehicle relocation service orders and supporting business operations. This role involves managing customer order execution and communication through email and telephone with various stakeholders. It requires maintaining accurate data in the CRM system for each order.
Responsibilities
- Manage execution of customer orders by coordinating and scheduling vehicle pickup and delivery, ensuring customer instructions are precisely followed.
- Ensure efficient order execution by linking multiple orders and overseeing additional services such as vehicle detailing, titling/registration, and storage placement.
- Communicate promptly by email, telephone, and CRM with staff, independent contractors, and pickup/delivery contacts, escalating issues to management as needed.
- Update CRM activities and notes promptly, maintaining accurate data after each call and email, including uploading photos and scanned documents.
- Ensure compliance with company policies and procedures, as well as adherence to DOT regulations and applicable laws.
- Calculate and offer flat fees on orders by emailing bid sheets to all independent contractors in the absence of or as directed by the manager.
- Manage the storage facility by tracking vehicles in and out, ensuring inventory accuracy, and addressing vehicle issues.
- Check vehicles for damage and issues, take inventory of items left in vehicles, and move vehicles in and out of the lot.
- Ensure all vehicles are accounted for and communicate any issues to headquarters for resolution.
Essential Skills
- Ability to learn and utilize all company systems and equipment effectively.
- Outstanding customer service skills and the ability to keep customers informed of developments.
- Ability to manage time effectively and complete tasks to keep orders moving.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office, especially Excel, and experience with CRM systems.
- Minimum of 6 months of customer service experience.

- High School Diploma - required
- Comfortable working in a fast-paced office environment with attention to detail
- Ability to manage several concurrent projects accurately
- Advanced computer skills
- Professionalism, honesty, and a strong work ethic
- Experience in logistics, scheduling, and coordination is a plus
Work Environment
This position is on-site and requires working Monday through Friday from 8 AM to 5 PM. The role provides an opportunity to work for a rapidly growing fleet transport company with potential for growth across 11 different departments. The company is women-owned, and the position is based in a fast-paced environment, similar to outside operations.
