Job Description
This 3‑month contract Project Administrator role supports a major marine construction project at the Port of Alaska in Anchorage. You will work 100% onsite from 7:30 a.m. to 4:30 p.m., providing comprehensive administrative, document control, and project coordination support to the field team. The position involves working closely with project personnel, subcontractors, and vendors to ensure accurate documentation, smooth operations, and timely reporting for a large dock construction project.
Responsibilities
- Provide full administrative and clerical support for the project site, including faxing, scanning, processing daily mail, preparing correspondence, filing, and creating Word documents and Excel spreadsheets.
- Coordinate project team meetings, including scheduling, calendar management, and preparation of meeting materials as needed.
- Answer incoming phone calls, route calls appropriately, record detailed messages, and provide timely follow-up.
- Set up and support field offices for remote jobsites, including arranging housing and vendor services for project personnel.
- Arrange and coordinate onsite maintenance and repairs with outside contractors to ensure facilities remain functional and safe.
- Manage project document control on SharePoint, including organizing and maintaining files and logs for preliminary notices, conditional lien waivers, change orders, permanent materials purchase orders, correspondence, RFIs, subcontracts, and related documents.
- Order and manage office supplies for the project site and assist with submitting purchase requisitions as requested by project staff.
- Process project-related accounts payable invoices accurately and in a timely manner.
- Review field timecards, including collection of union timecards, and ensure completeness and accuracy prior to processing.
- Manage and track subcontractor certified payroll using tools such as LCP Tracker or similar systems.
- Assist project personnel in preparing payment accruals, permanent material purchase orders, change orders, cost reports, and small business reporting.
- Conduct new hire onboarding for field personnel and coordinate required trainings and orientations.
- Act as an HR liaison between the field and the corporate office, ensuring accurate communication and timely submission of required information.
- Prepare and submit federal contract compliance reports for the prime contractor and all subcontractors on the project.
- Assist in the preparation of subcontracts and support management of subcontractor requirements, including review and tracking of certificates of insurance and bonds.
- Support good faith efforts outreach activities related to subcontractor and vendor engagement.
- Provide excellent customer service to internal project teams, subcontractors, and external partners, responding promptly to questions and requests.
- Maintain strict confidentiality, professionalism, and discretion in handling sensitive information and personnel matters.
- Demonstrate initiative, problem solving, and multitasking skills to support multiple project needs and shifting priorities.
- 2–3 years of experience working in a construction environment, preferably supporting field or project operations.
- Proven administrative experience with strong attention to detail and a high level of accuracy.
- Proficiency with Microsoft Office, including Word, Excel, and Outlook.
- Experience with project coordination and project administration in a construction setting.
- Hands-on experience with document control, including organizing, tracking, and maintaining project records.
- Experience with timecards and payroll-related processes, including collection of union timecards.
- Familiarity with accounts payable processing and invoicing for project-related expenses.
- Ability to schedule and coordinate meetings and maintain calendars for project teams.
- Strong customer service skills and the ability to communicate clearly with field staff, subcontractors, and vendors.
- Demonstrated ability to handle confidential information with professionalism and discretion.
- Strong organizational and multitasking abilities in a fast-paced project environment.
- Ability to travel within the region as needed to support various project sites.
- Experience using SharePoint for project document control and file management.
- Familiarity with CMiC or similar construction/project management software.
- Experience with LCP Tracker or other certified payroll tracking systems.
- Exposure to Aconex or similar construction document management platforms.
- Background in human resources support, including onboarding and offboarding of employees.
- Experience acting as an HR liaison between field operations and a central office.
- Knowledge of federal contract compliance reporting requirements in a construction context.
- Experience reviewing certificates of insurance and bonds for subcontractors.
- Ability to assist with small business reporting and good faith outreach efforts.
- Strong Excel skills for reporting, tracking, and cost-related documentation.
- Previous experience working on marine construction, dredging, or port projects is a plus.
This role is 100% onsite at the Port of Alaska near Anchorage, working from a double-wide office trailer on or near the active construction site. The restroom is located in a separate building, requiring brief outdoor walks between facilities. You will work closely with skilled tradespeople and field personnel who move on and off the jobsite throughout the day, creating a dynamic, fast-paced environment. The position follows a daytime schedule of approximately 7:30 a.m. to 4:30 p.m., supporting the construction of a new dock in a marine and industrial setting. The work environment involves regular use of computers, office equipment, and construction-related software, and requires comfort working in close proximity to heavy equipment, materials, and ongoing construction activities.

Pay and BenefitsThe pay range for this position is $25.00 - $30.00/hr.
