Job Title: Onboarding Coordinator (Back-End Support)
Job Description
The Onboarding Coordinator (Back-End Support) provides critical administrative and compliance support to the onboarding team during a period of increased volume and team turnover. This 6‑month contract role focuses on internal, behind-the-scenes onboarding activities that ensure a smooth and compliant experience for new hires while enabling the front-end team to concentrate on contractor and customer interactions. The position is fully remote, requires alignment to Pacific Time business hours, and offers a strong people-first culture with an emphasis on relationship-building and ongoing development.
Responsibilities
- Complete onboarding compliance and administrative activities, including I-9 processing and all related documentation in an accurate and timely manner.
- Perform routine tracker sweeps and maintain onboarding trackers and spreadsheets to ensure data integrity and up-to-date records.
- Send, track, and manage onboarding paperwork, including new hire paperwork, and follow up with stakeholders as needed to secure completion.
- Support the onboarding team by taking direction, pivoting quickly across tasks, and helping manage high-volume workload during peak periods.
- Participate in and successfully complete approximately four weeks of training covering the I-9 process, tracker sweeps, paperwork flow, and internal tools.
- Collaborate with internal stakeholders using professional communication to resolve issues, clarify documentation needs, and ensure compliance with onboarding requirements.
- Work consistently within multiple systems and tools to process data, update records, and manage documentation throughout the onboarding lifecycle.
Essential Skills
- Demonstrated administrative support experience, including data entry and documentation management.
- Comfort working in multiple systems with strong general computer and technology skills.
- Ability to work aligned to Pacific Time business hours (8:00 AM – 5:00 PM).
- Strong attention to detail and follow-through, particularly in compliance-focused work.
- Professional written and verbal communication skills to interact effectively with internal stakeholders.
- Ability to adapt to changing priorities, take direction well, and perform in a high-volume environment.
- Experience with onboarding, compliance, or new hire paperwork processes, including I-9 processing, is strongly preferred.
Additional Skills & Qualifications
- Prior exposure to onboarding, human resources, staffing, or compliance processes, especially I-9 workflows.
- Experience using tools and systems such as Microsoft Excel, Outlook, Microsoft Teams, Bullhorn, Service Hub, or similar CRM/ATS platforms.
- Customer service experience and a strong service mindset, particularly for candidates seeking an entry-level opportunity in the industry.
- Ability to attend occasional, optional team events in Arizona.
- Familiarity with new hire orientation processes and managing new hire paperwork.
- Experience with Microsoft Office and data entry in a professional environment.
This is a Contract position based out of Phoenix, AZ.
Pay and BenefitsThe pay range for this position is $19.00 - $19.00/hr.
