What We Do/Project
This role will serve as a key partner in Production & Development by providing coordinator and administrative support to ensure deadlines and deliverables are met. The Production Coordinator will assist the production team by managing executive calendars, organizing travel plans, processing travel expense reports, scheduling meetings, tracking cuts/outlines/descriptions, and overall production materials. Strong communication and being a reliable liaison between production and other internal departments, as well as external producers, will be important in this role. This position supports the Head of Content, two VPs of Production, and two VPs of Development.
Job Responsibilities / Typical Day in the Role
• Executive support (schedule meetings, make travel plans, expense reports, special projects).
• Department Administration (help with scheduling meetings with production companies and internal departments, organizing internal meetings, preparing power point or casting grids or clips for meetings).
• Collaborate, assist, and work closely with VPs and Executive Producers in overall communication about shows/projects. Communicate guidelines and deliverables for production companies. Work with internal departments to ensure they have the most updated information on shows (descriptions, schedules, clips/video).
• Provide, organize, and dispense production information to outside production companies (i.e. clocks, technical guidelines, producer's packet, logo, credits, etc.).
• Maintain constant communication with production companies to ascertain the most accurate and updated production information such as production schedules, outlines, casting grids, episode descriptions, titles, credits, scripts, graphics, etc. is available.
• Help with cutting clips for meetings as well as running clips for meetings.
• Review production materials, watch locked cuts for certain projects to ensure all network and S&P notes have been addressed.
• Assist with coordination and communication with other internal departments. Including: Press, Programming (provide episode descriptions, titles, program clips for meetings and or promotion, delivery updates), Social, Marketing, S&P, Legal/BA, etc. to ensure all departments have the most updated information on shows so they can promote and position them accurately.
• Provide administrative support to the Head of Content and VPs. Arrange meetings, zoom calls, travel, and handle expense reports as requested.
Must Have Skills / Requirements
1) Ability to manage multiple schedules of high-level executives.
a. 2+ years of experience; Executive Assistant or Adjacent Experience.
2) Ability to work on multiple projects at once and manage deadlines.
a. 2+ years of experience
3) Proven organization skills in a fast-paced environment
a. 2+ years of experience
Nice to Have Skills / Preferred Requirements
1) College degree preferred.
2) Experience in fast-paced media and entertainment environment preferred.
Soft Skills:
1) Strong organizational ability to prioritize multiple tasks and meet deadlines.
2) Detail oriented/strong organizational skills, ability to work well with many and diverse personalities, ability to thrive under pressure, strong communication skills.
Technology Requirements:
1) Should be proficient in Word, Excel, and PowerPoint.
2) Able to cut/edit clips - basic editing skills.
3) Familiarity with the Zoom application
