Job Description
The Order Entry Specialist supports key customer accounts in a manufacturing environment by managing orders from intake through delivery and invoicing. This role acts as the primary point of contact for assigned large accounts, ensuring accurate order processing, on-time shipments, and timely invoicing while maintaining strong customer relationships. The position works closely with operations, production, logistics, and accounting teams to meet customer expectations.
Responsibilities
- Serve as the main point of contact for assigned large customer accounts.
- Process customer orders accurately and efficiently in the ERP system.
- Coordinate and schedule shipments with internal logistics and shipping teams.
- Monitor order status and communicate updates, delays, or changes to customers.
- Prepare and process customer invoices and resolve billing discrepancies.
- Maintain pricing, contracts, and customer account information.
- Respond to customer inquiries regarding orders, shipments, and invoices.
- Partner with sales, production, and supply chain teams to meet delivery timelines.
- Assist with forecasting, order planning, and inventory coordination as needed.
- Maintain detailed and organized records of all sales and order-related activity.
- Previous experience in inside sales, customer service, or order management within a manufacturing environment.
- Experience supporting large or strategic accounts preferred.
- Strong understanding of order processing, shipping coordination, and invoicing.
- Proficiency with ERP systems and Microsoft Office (Excel, Outlook, Word).
- Strong communication and organizational skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Detail-oriented with a strong focus on accuracy and follow-through.
- Experience working cross-functionally with production, logistics, and accounting teams.
- Familiarity with manufacturing lead times and shipping processes.
- Customer-focused mindset with strong problem-solving skills.
The position is based on-site, with working hours from Monday to Friday, 7:30 AM to 4:00 PM.
Job Type & Location
This is a Contract to Hire position based out of Fresno, CA.
Pay and BenefitsThe pay range for this position is $19.00 - $19.00/hr.
