Under the supervision of the Clinical Trials Manager and the Program Directors of the UCLA Neuro-Oncology Program, the Administrative Assistant will represent the program in a professional and respectful manner, assist with administration of various tasks, and carry out assigned duties with punctuality, accuracy and discretion. You will be responsible for answering phones and triaging calls to the appropriate person and maintain accurate record keeping of patients who have been consented to research studies. You will also perform data entry, and query resolution under guidance and supervision.

You must be familiar with each clinical research study's visit/procedure schedule and will interact with the UCLA Clinical Trials Research Center (CTRC), Radiology, and/or Bowyer Oncology Clinic and also access CareConnect to coordinate these appointments. Under direction of the Clinical Trials Manager, you will deliver study medications, materials, and/or specimens between the CTRC, campus pharmacies, campus laboratories, and the Clinical Trials office.

Salary Range: $25.60 - $36.33/Hourly

Qualifications

Required:
  • Demonstrated interest and enthusiasm in assisting patients with brain tumors.
  • Strong organizational skills and flexibility in responding to rapidly changing priorities and exceptionally diverse demands through constant interruptions in a fast-paced office.
  • Demonstrate strong interpersonal and organizational skills to interact courteously and effectively develop and maintain cooperative working relationships with faculty and staff with the department, collaborating campus departments/units, the Medical Center, study sponsors, patients and their families from various social, cultural and economic backgrounds.
  • Effective listening skills to understand tasks, duties, and responsibilities, to accept positive and negative feedback and to hear suggestions non-defensively.
  • Customer service skills to interact courteously, tactfully, and with sensitivity to patients, research subjects, caregivers, and the general public.
  • Ability to handle sensitive and confidential information with discretion and diplomacy.
  • Demonstrated knowledge of UCLA forms, policies, procedures, and HIPAA regulations
  • Experience in clinical trials/medical office setting.
  • Demonstrated knowledge of medical/scientific terminology.
  • Excellent verbal and written English skills to communicate effectively.
  • Ability to learn rapidly and follow through tasks with attention to detail.
  • Demonstrated proficiency in MS Word, MS Excel, and database programs.
  • Ability to learn new software programs.
  • Demonstrated experience with CareConnect system.
  • Demonstrated experience using databases to maintain and update patient information.
  • Ability to operate standard office equipment.
  • Skill in using personal computers.
Preferred:
  • Bachelor's Degree in biological sciences or related field or an equivalent combination of education and experience.
  • Demonstrated experience working with patients with brain cancer.
  • Knowledge of Program's clinical research protocols to coordinate and schedule appointments.
  • Experience in a laboratory setting and/or handling of biological specimens.
