Job Title: Business Development CoordinatorJob Description

This role is designed for an organized and proactive individual who excels in a fast-paced environment and enjoys collaborating with various teams. The Business Development Coordinator will support sales operations, customer engagement, and contract administration, ensuring smooth onboarding and process execution. This position combines elements of sales support, RFQ management, marketing coordination, and administrative oversight to help the team deliver an exceptional customer experience.

Responsibilities
  • Manage and oversee timely and accurate input and management of new Requests for Quote (RFQs) and opportunities.
  • Assist sales representatives with RFQ entry, tracking, and status updates.
  • Ensure final contract documents are consistent with negotiated agreements.
  • Follow up with customers post-RFQ submission via email and phone to confirm receipt, clarify details, track progress, and gather input regarding reasons for win or loss after contract award.
  • Maintain and distribute regular sales and pipeline reports.
  • Track key performance metrics such as quote volume, win rate, and revenue by customer or program.
  • Schedule and coordinate contract review meetings for new contract awards to ensure smooth internal handoff from Business Development to operations.
  • Process all new contracts into the ERP system and ensure applicable stakeholders complete their assigned tasks prior to sending out order acknowledgments to customers.
  • Assist Finance and Shipping in documentation required for shipments and invoicing.
  • Prepare and update marketing materials and presentations in collaboration with internal and external stakeholders.
  • Order and maintain branded promotional items and help facilitate company presence at trade shows, customer visits, etc.
  • Prepare conference rooms, materials, and refreshments for on-site customer meetings.
  • Manage company website content and updates through coordination with external IT/web support.
  • Oversee company social media accounts, primarily LinkedIn, including posting updates, photos, and company news.
  • Maintain customer portals, upload required documents, and ensure company profiles remain up to date.
  • Complete new customer supplier surveys, manage customer documentation, and coordinate responses with internal stakeholders.
  • Track and manage Non-Disclosure Agreements (NDAs) and other commercial documents.
  • Conduct online research on target customers, competitors, and industry trends to support strategic Business Development initiatives.
  • Identify opportunities to improve internal Business Development processes, templates, and reporting tools.
  • Interface with key customers to ensure contractual compliance and performance.
  • Prepare and present clear, concise reports and summaries to management and stakeholders.
  • Provide general administrative support to the Estimating and Business Development departments.
  • Act as a point of contact for internal and external inquiries, directing them to the appropriate personnel.
  • Assist in preparing reports, memos, and other internal communications.
Essential Skills
  • Experience with RFQ and bid processes.
  • Proficient in ERP systems, specifically Epicor.
  • Understanding of ITAR compliance.
  • Proficiency with MS Office Suite (Excel, Word, Outlook, PowerPoint).
  • Knowledge of government contracting regulations (FAR, DFAR) and experience with DoD proposals.
Additional Skills & Qualifications
  • Bachelor's Degree in business, marketing, supply chain, or a related field.
  • 2-4 years of experience in strategic business development support or sales operations.
  • Experience within the aerospace or defense industry is a strong plus.
  • Familiarity with A&D customer portals, especially working within prime customer portals.
Work Environment

This position is 100% onsite with hours from 7:30 AM to 4:00 PM, offering some flexibility. The role is based in an ITAR facility, requiring compliance with related regulations. The company is in full growth mode post-acquisition by a private equity firm, presenting significant opportunities for development and involvement in various business functions. The work environment encourages collaboration and adaptation as the team scales operations.

This is a Permanent position based out of Santa Fe Springs, CA.

Pay and Benefits

The pay range for this position is $95000.00 - $115000.00/yr.
