We are seeking a proactive and customer-focused Administrative Assistant to join our Ophthalmology multi-specialty clinic in Santa Monica. This position plays a vital role in ensuring smooth insurance authorization processes and supporting our heavy call volume. Responsibilities include, but are not limited to:
- Obtain authorizations and required documentation prior to appointments
- Answer high volume of phone calls and assist with patient inquiries
- Register patients and verify insurance coverage and eligibility
- Collect patient payments and perform encounter registration in EMR systems
- Obtain and upload outside records and referrals as needed
- Provide front desk support

Required
- Minimum of 2 years working in a medical office.
- Familiarity with current patient billing practices and governmental programs to ensure reimbursement.
- Experience scheduling patient appointments in computerized appointment scheduling system.
- Excellent interpersonal skills which promote pleasant and effective communication with patients, staff and doctors.
- Excellent organizational skills and ability to maintain records in a clear and orderly manner at the direction of the Office Manager.
- Working knowledge of medical terminology and diseases, as it applies to the eye.
- Sufficient computer keyboard skills to perform appointment scheduling, encountering, emailing, and other related computer tasks.
- Ability to prioritize tasks in a systematic manner to maximize efficiency.
- Ability to work with frequent interruptions and to complete assignments in a timely manner.
- Ability to work independently with minimal supervision.
- Ability to multitask effectively.
- Flexibility and adaptability given the dynamic nature of medicine and departmental needs.
- The ability to interact calmly and effectively with providers, staff, as well as patients with difficult personalities.
- Two years' experience working in a medical teaching institution.
- Two years' experience in ophthalmology practice setting.
