Job Description
The Lead Logistics Specialist plays a pivotal role in ensuring accurate vehicle relocation services while supporting the day-to-day operations of the office. This role is aligned with the Field Office Manager and involves managing customer order execution, scheduling pickups and deliveries, and maintaining accurate data in CRM. The position requires independent execution of responsibilities with limited oversight and is located on-site at the field office, functioning during core business hours.
Responsibilities
- Coordinate and schedule pickup and delivery of customer vehicles, ensuring customer instructions are precisely followed.
- Efficiently execute orders by linking multiple orders and overseeing additional services like vehicle detailing and storage.
- Communicate timely via email, telephone, and CRM with staff, Independent Contractors, and delivery contacts, escalating issues when necessary.
- Maintain accurate data in CRM by updating activities, notes, and uploading relevant documents after each communication.
- Create tasks and follow through to maintain accurate, time-sensitive notes.
- Ensure compliance with policies, procedures, and applicable DOT regulations, as well as Federal, State, and Local laws.
- Approve and submit independent contractor invoices and supporting documentation to Accounting.
- Calculate and offer flat fees on orders in the manager's absence or under the manager's direction.
- Manage storage facility operations, including tracking vehicles in and out and conducting vehicle inspections.
- Manage vehicle inventory, ensuring vehicles are starting and addressing any issues before reactivation.
Essential Skills
- At least 6 months of customer service experience; inventory experience is a plus.
- Proficiency in Microsoft Office Excel, data entry, and CRM systems.
- Strong communication skills, both written and verbal.
- Experience in call center operations, logistics, scheduling, and coordinating.
- Typing proficiency with a minimum score of 37 WPM.
Work Environment
Located in Upland, CA, the work schedule is Monday to Friday, from 8 AM to 5 PM.
