Are you fluent in Spanish and passionate about helping others? We’re seeking a Bilingual Administrative Assistantto join our team in Hartford! This role is essential in supporting our programs and clients within a fast-paced, mission-driven organization.
Position Overview
The Administrative Assistant provides critical administrative and customer service support, ensuring smooth operations and timely communication across departments. This role requires fluency in both Spanish and English to effectively serve our diverse client base.
Key Responsibilities
- Greet clients and visitors professionally; assist with directions and notify staff of arrivals.
- Answer program-related calls and provide appointment reminders.
- Process referrals, schedule appointments, and arrange translation services.
- Manage client intake and admissions, including paperwork and personal information verification.
- Schedule assessments and appointments; oversee client check-in/check-out.
- Respond to inquiries and provide information about agency programs and services.
- Distribute agency communications and monitor reception area for cleanliness and safety.
- Coordinate with service providers and the Records department.
- Perform monthly data entry for program evaluation and quality assurance.
- Prepare assessment packets and order program supplies.
- Offer administrative support across departments and locations.
- Handle special projects and other assigned tasks.
Required Qualifications
- Fluency in Spanish and English (Required)
- 2–3 years of customer service experience.
- Strong verbal and telephone communication skills.
- Proficiency in Microsoft Outlook, Word, and Excel.
- Excellent organizational skills and attention to detail.
- Ability to multitask and manage a high volume of work.
- Accurate typing and professional written communication.
- General office skills including filing, organizing, and scheduling.
