Summary:
This position provides high-level administrative support to a senior executive within a dynamic government affairs environment. The role requires an exceptional professional who can seamlessly manage complex schedules, coordinate critical meetings, and serve as a trusted partner to leadership. This individual will act as a key liaison between the executive and internal teams, external consultants, and stakeholders, requiring excellent judgment, discretion, and the ability to anticipate needs before they arise. The position demands someone who thrives in a fast-paced, high-intensity environment and can confidently represent the executive in various settings, including leading team calls and facilitating communications. Success in this role requires a proactive approach, exceptional organizational abilities, and the capacity to manage multiple priorities while maintaining the highest standards of professionalism and confidentiality.

Job Responsibilities:
- Manage complex executive calendars with precision, coordinating meetings across multiple time zones and prioritizing competing demands
- Prepare agendas and make comprehensive arrangements for committee meetings, board meetings, and other executive-level gatherings
- Coordinate all aspects of domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries
- Lead team calls and facilitate communication between the executive and various stakeholders, consultants, and team members
- Review and process invoices, reports, memos, letters, financial statements, and other documents requiring executive attention
- Analyze incoming communications, submissions, and reports to determine significance and ensure appropriate distribution
- Supervise general office operations including ordering supplies, maintaining records management systems, and performing bookkeeping functions
- Prepare and edit correspondence, presentations, and other materials on behalf of the executive
- Serve as a gatekeeper and trusted advisor, exercising sound judgment in managing information flow and access to the executive
- Anticipate executive needs and proactively address potential scheduling conflicts or operational challenges
- 8-10 years of progressive administrative experience in professional environments
- Proven track record supporting executive-level leadership
- Experience working in fast-paced, high-pressure business settings
- Exceptional verbal and written communication abilities with strong public speaking confidence
- Advanced calendar management and scheduling coordination expertise
- Superior organizational skills with meticulous attention to detail
- Proven ability to maintain strict confidentiality and exercise discretion with sensitive information
- Strong multi-tasking capabilities and ability to prioritize effectively under pressure
- Excellent customer service orientation and interpersonal skills
- Demonstrated leadership abilities and capacity to mentor others
- Event planning and coordination proficiency
- Strong independent work ethic and self-management capabilities
- Proficiency with Microsoft Office suite including Word, Excel, and PowerPoint
- Familiarity with travel booking platforms and expense management tools
- Location: Onsite (Washington, DC)
- Duration: 3 months
- Pay Range*: $45.50 - $51.50 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
