Job Description
The Receptionist serves as the first point of contact for clients, visitors, and team members. This position plays a key role in ensuring the office runs smoothly by providing comprehensive administrative support to management, staff, and various departments across the organization. The ideal candidate is organized, proactive, personable, and capable of multitasking in a dynamic office environment.
Responsibilities
- Greet and assist all visitors, clients, and vendors in a warm and professional manner.
- Respond to incoming calls and electronic communications, ensuring timely and accurate responses or redirection.
- Provide administrative support to the manager, drafters, designers, and all team members.
- Perform general office duties including ordering supplies and maintaining inventory.
- Operate standard office equipment such as computers, phones, photocopiers, printers, and filing systems.
- Sort, scan, and distribute all incoming correspondence, including faxes and emails.
- Coordinate schedules, reserve conference rooms, and manage the company calendar.
- Collect, reconcile, and submit reimbursement requests and payment documentation for team members and providers.
- Prepare and send packages through FedEx and ensure timely delivery.
- Assist the Service Department by handling client inquiries and forwarding messages appropriately.
- Manage office correspondence, handle complaints, and respond to general queries.
- Distribute outgoing checks to providers and scan incoming checks to the Financial Team.
- Coordinate with third-party service providers such as landscapers, pest control, electricians, and cleaners.
- Support office and administrative operations, identifying and implementing process improvements.
- Assist with resolving issues related to international packages by contacting carriers such as FedEx or DHL to identify delays or problems, and communicate updates to the appropriate team members.
- Collaborate with the manager to create and update the walk-in schedule for the sales team.
- Promote a professional, welcoming environment at the front desk and ensure all visitors feel attended to and supported.
Essential Skills
- Front desk customer service experience.
- Clerical skills.
- Receptionist customer service.
- Proficiency in Spanish.
Additional Skills & Qualifications
- High school diploma or equivalent; associate degree or administrative training preferred.
- 2+ years of administrative or receptionist experience in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office technology.
- Excellent communication and interpersonal skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks with efficiency and professionalism.
- Proactive problem-solver who takes initiative.
Work Environment
The position is based in an on-site retail showroom, operating Monday through Friday from 8:30 am to 5:30 pm. Job Type & LocationThis is a Contract to Hire position based out of Doral, FL.
Pay and BenefitsThe pay range for this position is $19.00 - $20.00/hr.
