Job Title: Architecture Project Admin

Job Description

We are seeking a dedicated Architecture Project Admin to join our team in Orlando, FL. In this role, you will support the design and production staff by assisting with due diligence, exhibits, scheduling, permitting, and other project requirements. Additionally, you will manage various general office duties such as answering phones, handling project number requests, and organizing office events.



Responsibilities

  • Review and analyze work requirements to efficiently utilize resources and notify the project lead of any conflicts.
  • Adhere to daily schedules and directions from Job Captain, Project Manager, or Project Director regarding assigned tasks.
  • Maintain a list of project questions for review and answers by the project lead.
  • Collaborate with internal departments and teams as directed by leadership.
  • Communicate daily with the project team to ensure smooth project execution.
  • Manage project timelines and statuses effectively.
  • Handle program-specific requirements such as client-required online software.
  • Assist in the lease exhibit process, including communication with clients and generating lease exhibits.
  • Contribute to the due diligence process by filling out reports, contacting authorities, and compiling photo pages.
  • Support the preparation of project specifications if needed.
  • Maintain project cost files, client agreements, and consultant agreements.
  • Oversee the permitting process, including form submissions and regular follow-ups.
  • Manage the submittal process by logging, tracking, and distributing submittals and shop drawings.
  • Track and distribute Requests for Information (RFIs).
  • Organize business development projects and track business leads and potential clients.
  • Attend networking events as requested by the office Principal.
  • Assist the team with miscellaneous administrative and project-specific requests.
  • Support office functionality by managing the office calendar and supplies.

Additional Skills & Qualifications

  • Prior experience in an architectural or engineering office is a plus

This role is based in a new office equipped with the latest technology and equipment. We offer a relaxed, flexible, and employee-friendly work environment with a small company culture, backed by a reputable 95-year-old firm with 110 employees.
