Job Description
The Proposal Coordinator plays a pivotal role in supporting the pursuit of new contracts and task orders with both new and existing public-sector customers. This position leads the development and coordination of proposals for state and local government agencies and municipalities, ensuring compliant, compelling, and timely submissions. The role combines proposal management, technical writing, marketing support, and collaboration with internal teams and subconsultants in a flexible, supportive, and long-standing team environment.
Responsibilities
- Lead the end-to-end proposal development process for new contracts and task orders, ensuring alignment with request for proposal (RFP) requirements and overall pursuit strategy.
- Develop and follow a clear proposal outline based on the RFP, including structure, content needs, and response strategy.
- Coordinate internal resources and external team members, including subconsultants, to gather and develop key proposal sections, graphics, and supporting materials.
- Assemble written sections, graphics, and forms into a cohesive, polished proposal that is fully compliant with all RFP instructions and evaluation criteria.
- Participate in internal proposal reviews, incorporate feedback, and refine content, layout, and messaging to strengthen the final submission.
- Manage proposal schedules and milestones to ensure all components are completed and submitted on time.
- Track proposal submissions and manage any required follow-up with clients, including clarification requests or additional documentation.
- Help track, coordinate, and attend technical conferences to support business development and client relationship efforts.
- Prepare marketing materials such as slick sheets, pamphlets, and other collateral that support proposal efforts and client outreach.
- Contribute to web-based initiatives, including developing and refining website content related to services, projects, and capabilities.
- Support the introduction and evaluation of artificial intelligence tools and processes that can enhance proposal development and marketing activities.
- Perform technical writing and editing to ensure clarity, accuracy, consistency, and professional quality across all proposal and marketing documents.
- Maintain effective document control practices for proposal files, versions, and supporting documentation using appropriate software tools.
- Demonstrated experience as a proposal coordinator working for an architecture/engineering (A/E) or engineering firm.
- Strong proposal writing and proposal coordination skills, with the ability to interpret and respond to RFP requirements.
- High proficiency in Microsoft Office, particularly Word and PowerPoint, for document creation, formatting, and presentations.
- Proficiency with Adobe Creative Cloud applications, including Acrobat Pro, Photoshop, InDesign, and Illustrator, for document production and graphics.
- Solid technical writing and editing skills with a strong command of grammar, structure, and professional tone.
- Experience working with proposals, RFPs, and document control processes in a fast-paced environment.
- Excellent attention to detail to ensure accuracy, completeness, and compliance in all proposal and marketing materials.
- Strong organizational skills with the ability to coordinate multiple tasks, contributors, and deadlines simultaneously.
- Effective verbal and written communication skills to collaborate with internal teams, subconsultants, and other stakeholders.
- Ability to work effectively under pressure and meet strict deadlines while maintaining high-quality standards.
- Experience supporting proposals and marketing efforts for public-sector clients such as transportation, environmental, water management, and other state or local agencies.
- Familiarity with agencies such as departments of transportation, environmental protection, water management districts, agricultural and wildlife commissions, and municipalities.
- Experience developing marketing materials including slick sheets, pamphlets, and other promotional collateral.
- Experience contributing to web-based initiatives, including drafting or editing website content.
- Interest in or exposure to artificial intelligence tools for content creation, document management, or process improvement.
- Ability to build strong working relationships within a long-tenured team and contribute to a collaborative, family-like atmosphere.
The role supports a Florida-based engineering, consulting, and program management operation that enhances infrastructure and the environment across the state. The team serves multiple state agencies, municipalities, and private sector clients from offices in locations such as Tampa, Tallahassee, West Palm Beach, and Orlando. Job Type & Location
This is a Contract to Hire position based out of Riverview, FL.
Pay and BenefitsThe pay range for this position is $28.85 - $38.46/hr.
