Job Description
The Payroll Administrator manages full-cycle payroll operations for a large, multi-state workforce of approximately 3,000 employees. This role ensures accurate, timely, and compliant payroll processing while supporting system transitions and continuous process improvement. The position is hybrid, requiring on-site presence at a Tampa-area office near the airport during the contract period, with the opportunity for two remote days per week once converted. This is a growth-oriented opportunity that can potentially lead to a Payroll Manager role as the organization continues to expand.
Responsibilities
- Own and execute full-cycle payroll processing for a multi-state employee population of approximately 3,000 employees.
- Ensure end-to-end payroll accuracy, compliance, and timely execution with minimal oversight.
- Support data validation, parallel testing, and issue resolution during HRIS and payroll system migration.
- Lead payroll audits, reconciliations, and year-end activities, including W-2 processing and tax filings.
- Interpret and apply federal, state, and local wage and hour laws to maintain ongoing compliance.
- Handle complex payroll matters, including multi-state taxation, adjustments, and off-cycle payments.
- Maintain compliance with all applicable federal, state, and local payroll regulations.
- Respond to employee payroll inquiries promptly, professionally, and with strict confidentiality.
- Document payroll processes and contribute to continuous improvement initiatives and best practices.
- Collaborate with finance, HR, and other stakeholders to resolve payroll-related discrepancies or questions.
- Perform other payroll-related duties or special projects as assigned.
- Associate’s degree in accounting, finance, or a related field required; bachelor’s degree preferred.
- 2–5 years of payroll or HR/finance experience, preferably in a healthcare or high-volume environment.
- Hands-on experience performing payroll for 1,500 or more employees.
- Experience with payroll systems, including required experience with UKG Pro.
- Advanced Microsoft Excel skills, including working with large data sets and complex formulas.
- Knowledge of federal, state, and local payroll laws and regulations.
- Ability to ensure accurate, compliant, and timely payroll processing with minimal oversight.
- Strong analytical skills to support data validation, reconciliations, and audits.
- High attention to detail, confidentiality, and commitment to data integrity.
- Ability to prioritize tasks effectively, meet deadlines, and operate with a strong sense of urgency in a fast-paced environment.
- Ability to work in a hybrid arrangement from the Tampa-area office.
- Bachelor’s degree in accounting, finance, or a related discipline.
- 5+ years of payroll administration experience in a high-volume environment.
- Proven track record of owning payroll operations in a complex, multi-entity or healthcare/MSO environment.
- Hands-on experience with large-scale payroll systems.
- Experience supporting payroll or HRIS system transitions, including implementations and migrations.
- Strong knowledge of multi-state payroll compliance and related tax requirements.
- Demonstrated ability to lead payroll audits, reconciliations, and year-end activities.
- Proactive approach to process documentation and continuous improvement.
- Strong interpersonal and communication skills when working with employees and cross-functional teams.
- Interest in career growth with potential to move into a Payroll Manager role as the organization expands.
The role is based in a Tampa-area office near the airport and operates on a standard schedule of Monday through Friday, 9:00 a.m. to 5:00 p.m. During the contract period, the position is on-site, with the opportunity to transition to a hybrid schedule of three days in the office and two days remote once converted, with specific remote days determined in collaboration with leadership. The Payroll Administrator works closely with a small, collaborative team currently consisting of two people, including an accounts payable processor. The environment is fast-paced and evolving, with a focus on accuracy, compliance, and continuous improvement in payroll operations. Business casual dress is expected in the office. The role involves regular use of UKG Pro, Microsoft Excel, and other HRIS and payroll-related technologies to support a large, multi-state employee population.

This is a Contract to Hire position based out of Tampa, FL.
Pay and BenefitsThe pay range for this position is $30.00 - $38.00/hr.
