Job Title: Site Leader
Position Profile
The Site Leader is responsible for the daily operations of a small site and serves as the primary point of contact for a small team. This role involves reporting and escalating facility-related issues, maintaining acceptable profit levels, and ensuring customer service expectations are met. The Site Leader performs contracted office services such as Copy, Courier, Managed Print, Hospitality, Imaging, and Mail services. This position is the on-site contact for customer issues and contract compliance when no Site Manager is assigned.
Key Responsibilities
- Oversee daily operations of mail room, copy center, or scanning facility
- Operate office equipment (PCs, copiers, multifunction devices, imaging & mail equipment)
- May manage: courier services, reception, switchboard, shipping/receiving, and mail processing
- Act as a team lead: assign jobs, schedule projects, supervise breaks, and escalate issues
- Serve as the on-site contact for customer issues and contract compliance
- Train and develop assigned staff
- Maintain daily customer contact and ensure service excellence
- Analyze and resolve problems with minimal guidance
- Understand and track Service Level Agreements (SLAs); report compliance and improvements
- Assist leadership with recruiting, staffing, and performance management
- Foster positive internal communication and teamwork
- Provide workflow and equipment training as needed
- Supervise material usage to achieve cost efficiency
- Ensure quality and deadline standards through effective scheduling
- Hold team accountable for work quality and efficiency
- Resolve pricing and order issues in coordination with the sales team
- Complete site reports and paperwork accurately and on time
- Perform routine tasks: work orders, contractor monitoring, inspections, and issue reporting
- Interact with vendors, facility management, and occupants
- Manage office supply inventory and conference room resources
- Complete month-end management reports in absence of Site Manager
- Support training and development of site personnel
- Place supply requisitions using Oracle iProcurement
- Perform other duties as assigned
- High school diploma or GED required
- 2+ years of related experience (B2B and/or technical)
- Prior training experience preferred
- 2+ years of customer-facing experience required
- Proficient in technology and office equipment
- Strong process facilitation skills
- Comfortable presenting to small groups
- Moderate problem-solving ability
- Intermediate customer service and technical skills
- Effective written and verbal communication
- Office environment with standard lighting, ventilation, and noise levels
- Requires interpretation and application of complex information
- Some physical effort: walking, standing, bending, lifting up to 50 lbs
- Moderate dexterity for equipment and tool use
