Job Description
The Payroll Administrator will support day-to-day payroll, billing, and administrative operations for a busy union construction job site in Manteno, IL. The position is ideal for someone who enjoys a dynamic, field-based environment, is highly detail-oriented, and can balance desk work with on-site coordination and interaction with construction teams.
Responsibilities
- Provide general administrative support to the site Project Manager, Assistant Project Manager, and home office payroll teams.
- Collect and verify daily crew labor hours from time sheets and Time & Material (T&M) tickets to ensure accuracy and completeness.
- Ensure all manpower hours are accurately captured, properly documented, and approved according to company and client requirements.
- Enter, balance, and reconcile payroll hours in the Employee Portal and other timekeeping or payroll systems.
- Compile labor hours and additional billable items, including equipment, consumables, and expenses, into accurate T&M tickets.
- Submit approved T&M tickets to Payroll and Accounts Receivable teams to support timely and accurate invoicing.
- Support payroll and billing accuracy by reconciling hours, documentation, and supporting records on a regular basis.
- Assist with tracking project milestones and progress as needed, ensuring documentation is current and organized.
- Attend client meetings with the site team, take detailed notes, and prepare clear, concise meeting summaries for internal and external stakeholders.
- Participate in job site walks with field teams and clients to better understand project status and on-site needs.
- Help plan and support special projects and events, such as safety lunches and other site-based initiatives.
- Scan, organize, and submit safety and compliance paperwork, ensuring records are complete and readily accessible.
Work Environment
This position is based full-time at the Manteno, IL construction job site rather than in a traditional corporate office. You will work from a shared workstation alongside the site team while construction activities are actively underway.
Job Type & LocationThis is a Contract to Hire position based out of Manteno, IL.
Pay and BenefitsThe pay range for this position is $23.00 - $25.00/hr.
