Job Description
The Concierge supports a dynamic, office-based environment by managing access control programs, coordinating building services, and delivering exceptional customer service to colleagues and visitors. This role oversees temporary access badges, landlord building access cards, lost and found, luggage storage, and quarterly inspections of art and meeting rooms. The Concierge collaborates closely with conference services and administrative teams to support site events, escalates and tracks building service issues, and contributes to projects that enhance employee engagement, productivity, cost efficiency, and risk mitigation.
Responsibilities
- Manage temporary access badges and landlord building access cards to ensure secure and efficient entry for employees, visitors, and contractors.
- Oversee lost and found services, including logging, storing, and returning items in a timely and professional manner.
- Coordinate luggage storage services, ensuring secure handling and clear documentation.
- Conduct quarterly inspections of art installations and meeting rooms to confirm they are presentable, safe, and properly maintained.
- Assist with site events in coordination with the conference services team and administrative staff, including event setup, logistics, and on-site support.
- Monitor and escalate issues related to building services such as janitorial, mailroom, facilities, copier services, parking, badging, and conference rooms.
- Submit and track work orders through the appropriate channels, ensuring timely resolution and clear communication with stakeholders.
- Work collaboratively with other service lines and departments to provide a seamless, high-quality workplace experience.
- Support projects and initiatives that enhance employee engagement, increase productivity, reduce costs, mitigate risk, and create value for the organization.
- Perform routine facility walkthroughs and assessments, identifying issues and opportunities to improve the workplace environment.
- Provide front-line customer service, greeting and assisting colleagues and visitors with professionalism and a service-oriented mindset.
- Perform additional job duties and special assignments as requested.
Essential Skills
- High school diploma or GED.
- Minimum of 3 years of experience in hospitality, facility/property management operations, and/or knowledge of commercial real estate.
- Proficiency with Google Suite, including Gmail, Sheets, and Docs.
- Strong customer service skills with the ability to interact professionally with colleagues, visitors, and vendors.
- Proven ability to manage multiple priorities and deliver results in fast-paced environments.
- Demonstrated initiative, integrity, and sound judgment in handling sensitive situations and information.
- Excellent verbal and written communication skills.
- Highly collaborative interpersonal abilities, with a focus on teamwork and relationship building.
- Data entry and administrative support skills, including accurate documentation and recordkeeping.
- Ability to perform receptionist-style customer service, including greeting and directing visitors.
Additional Skills & Qualifications
- Experience in hospitality, facility/property management, or operations.
- Knowledge of commercial real estate industry practices and terminology.
- Experience managing third-party vendor relationships.
- Familiarity with workplace technology and digital engagement platforms.
- Experience in event planning and coordination, including logistics and on-site support.
- Experience with data collection and analysis for performance reporting.
- Understanding of service level agreements (SLAs) and compliance requirements.
- Strong problem-solving skills and the ability to escalate issues appropriately.
- Comfort working with various building services such as janitorial, mailroom, facilities, copier services, parking, badging, and conference rooms.
Work Environment
This role is based in a professional office environment that requires extensive walking and standing throughout the day. The Concierge spends a minimum of two hours daily walking floors, conducting facility walkthroughs, and welcoming colleagues. The position involves routine facility assessments and event support, which may include lifting and moving materials for event setup and basic facility maintenance tasks. Manual dexterity is required for operating workplace technology, managing access systems, and performing administrative tasks using tools such as Google Suite. The work setting is highly collaborative, with regular interaction across multiple service lines, conference services, administrative teams, and building service providers. A professional appearance and demeanor are required at all times to support client-facing and colleague-facing interactions in a polished corporate environment.
Job Type & LocationThis is a Contract position based out of Riverwoods, IL.
Pay and BenefitsThe pay range for this position is $17.00 - $18.00/hr.
