About the Role
We are seeking a Customer Service Specialist with a medical or healthcare administrative background to support patients and referral partners. This role focuses on customer interaction, explaining equipment and insurance coverage, processing orders, and providing excellent front‑end service.
Schedule: Monday–Friday, 8:00 AM – 5:00 PM (1‑hour lunch)
Work Environment: Onsite
Key Responsibilities
- Serve as the primary point of contact for patients and referral sources
- Answer inbound calls and respond to emails in a timely and professional manner
- Make outbound calls to patients and healthcare offices as needed
- Explain medical equipment usage, basic troubleshooting, and care instructions
- Educate patients on insurance coverage, billing processes, and financial responsibility
- Obtain, review, analyze, and verify referral information for accuracy
- Create and process orders for medical equipment as prescribed by physicians
- Schedule patients for equipment delivery or pickup
- Route calls to the appropriate department and follow up as needed
- Ensure documentation is completed accurately and within required timelines
Required Qualifications
- 1–3 years of customer service or administrative experience in an office, medical, or insurance setting
- Medical or clinical experience (Medical Assistant, CNA, Insurance Verification, or similar)
- Experience working one‑on‑one with customers or patients
- Strong verbal communication skills and confidence explaining technical information
- Ability to clearly explain medical equipment, insurance processes, and patient financial responsibility
- High attention to detail and comfort learning technical equipment
- Empathy, patience, and a customer‑focused mindset
- Ability to lift up to 50 lbs
- Ability to assist patients into a seated position
✅ No medical equipment experience required – training provided
On‑Call Expectations (Once Direct)
- On‑call rotation approximately once every 8–12 weeks (1–3 times per month)
- Schedule provided quarterly with flexibility to swap or pick up shifts
- $100 holiday stipend; all time worked paid at overtime rate
- On‑call work is remote, requiring a private workspace and reliable internet
- Some on‑call shifts may receive no calls; stipend still applies
Training & Schedule
- Hands‑on training with management (approximately one month)
- Training includes medical equipment education and internal systems
- Monday–Friday, 8:00 AM – 5:00 PM schedule
- Onsite position at the Fort Wayne branch

This is a Contract to Hire position based out of Fort Wayne, IN.
Pay and BenefitsThe pay range for this position is $18.00 - $20.00/hr.
