Job Title: Purchasing Assistant
Job Description
The main function of a Purchasing Assistant is to coordinate and expedite the flow of work and materials within or between departments according to the production schedule. This role is responsible for reviewing and distributing production, work, and shipment schedules, as well as compiling reports on inventory levels and costs.
Responsibilities
- Issue and send out purchase orders (PO) to customers.
- Follow up on invoices to ensure they are sent out promptly.
- Support multiple departments, including engineering, accounting, shipping, tool crib, and 3PL.
- Examine documents, materials, and products, and monitor work processes to assess completeness, accuracy, and conformity to standards and specifications.
- Review production schedules, work orders, and staffing tables to determine personnel and materials requirements and material priorities.
- Record production data, including volume produced, consumption of raw materials, and quality control measures.
- Requisition and maintain inventories of materials and supplies necessary to meet production demands.
- Collaborate with suppliers, coordinators, and engineers on PO revisions and work with suppliers to submit missing invoices.
- Assist or cover for Coordinators when needed and provide direction on shipping requirements.
- Learn and understand procurement methods and document detailed notes in the Prove Design system.
- Support Engineering with projects to procure parts from suppliers and ship them globally for various projects.
Essential Skills
- Experience in purchasing, procurement, and logistics.
- Knowledge of domestic and international shipping.
- Proficiency in Microsoft Office Suite, including Teams, Outlook, and Excel.

- Shows good initiative and willingness to learn.
- Excellent communication and follow-up skills.
Work Environment
This position requires working a 40-hour week, Monday through Friday, with shifts from either 7:00 am to 3:30 pm or 7:30 am to 4:00 pm. The team consists of 6 people, and the role does not require overtime. The work environment involves collaboration with various departments and stakeholders, providing a dynamic and supportive atmosphere.
