Job Title: HR Representative/Office Manager


Job Description

The Executive Assistant & Human Resources Representative is a dual-role position responsible for providing high-level administrative support to the CEO while managing key human resources functions. This individual will ensure smooth day-to-day operations, maintain confidentiality, and foster a positive and compliant work environment. The ideal candidate is detail-oriented, proactive, and experienced in both executive support and HR leadership. This is a full-time, in-person position based at our primary office location in Bethesda, MD. The employee may be required to travel to the company’s second location in Nottingham, MD, as needed, using their own reliable transportation.


Responsibilities

  • Manage calendars, schedule meetings, and coordinate travel arrangements for the CEO.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Serve as the liaison between the CEO and external stakeholders.
  • Handle confidential information with discretion and professionalism.
  • Organize and coordinate executive-level meetings, including agenda preparation and minute-taking.
  • Assist with other departments as needed for projects and events.
  • Oversee the full employee lifecycle, including recruitment, onboarding, performance reviews, and offboarding.
  • Ensure proper record keeping, facilitate company-wide communication, and assist with wage and salary administration.
  • Manage the company’s leave of absence and workplace accommodation requests.
  • Maintain and update HR policies, procedures, and employee handbook in compliance with legal and regulatory requirements.
  • Serve as the point of contact for employee relations issues, providing guidance and ensuring fair resolution.
  • Manage benefits administration, payroll coordination, and employee records.
  • Ensure compliance with labor laws, EEO regulations, and workplace safety standards.
  • Develop and implement HR strategies aligned with organizational goals.
  • Coordinate employee engagement initiatives, training, and development programs.

Essential Skills

  • 5+ years of Executive/Office Manager experience, including supporting executive leadership, calendar management, minute-taking, and presentations.
  • 5+ years of HR experience, including onboarding, benefits administration, performance reviews, recruitment, and accommodation requests.
  • Bachelor's degree in Human Resources, Business Administration, or related field (Master’s degree or HR certification preferred).
  • Strong knowledge of employment laws and HR best practices.
  • Proficiency in Microsoft Office Suite and HR software (e.g., ADP, Paychex, BambooHR).
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to handle sensitive and confidential information with integrity.
  • Exceptional time management skills and the ability to prioritize multiple tasks.
  • Demonstrated proactive approach to problem-solving with strong decision-making capability.
  • Must have a valid driver’s license and access to reliable transportation for occasional travel.

Additional Skills & Qualifications

  • Experience in manufacturing is a plus.
  • Typing speed of 40 wpm.
  • Defense contractor experience is a plus.

Work Environment

This position is 100% onsite with working hours from 8:30 am to 5:00 pm. The office environment is located at the headquarters in Bethesda, MD. The company is a small, women-owned government contractor with under 100 employees, providing exposure to all levels of leadership. The company boasts over 30 years of experience in manufacturing, business development, and providing solutions to military forces and public safety in a state-of-the-art facility.


Compensation:$95000
