Job Title: Events/Supplier Relations Administrator


Job Description

The Supplier Relations Administrator will be integral to maintaining administrative functions within the organization, with a focus on BAMA membership and Purchasing Supplier Development Knowledge Management. The role involves creating and managing the National Meeting website, tracking registrations, and developing post-event surveys. Additionally, the Administrator will issue and manage membership renewals and invoices, monitor supplier KPIs, and provide customer support to BAMA members.


Responsibilities

  • Create and manage the National Meeting website using CVENT, issue invitations, and track registrations.
  • Develop and distribute post-event surveys for the National Meeting.
  • Issue and track Statement of Commitment submissions for membership renewals.
  • Manage invoices for annual dues payments.
  • Monitor supplier Key Performance Indicators (KPIs) and issue scorecards three times a year.
  • Serve as the primary contact for BAMA members, handling new member applications and general inquiries.
  • Communicate changes with regional leads and update region worksheets.
  • Maintain the support mailbox for BAMA Membership Customer Support.
  • Answer inquiries from PSD and suppliers and obtain executive approval for VPP coordination.
  • Manage training room scheduling and track training facilitator changes and attendance.
  • Perform other duties as specified by the Senior Manager.

Essential Skills

  • Experience in administrative support and data entry.
  • Strong customer service skills.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Knowledge of CVENT is preferred.
  • Excellent communication skills, both written and verbal.

Additional Skills & Qualifications

  • Associate degree or equivalent experience in administrative roles, preferably in membership or event management.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
