Job Title: Executive Assistant


Job Description

We are seeking an Executive Assistant to provide support to three Executives within a dynamic financial services environment. This role offers exposure to executive teams and high-level topics, emphasizing strategic calendar management.


Responsibilities

  • Assist with calendar management and travel arrangements for leadership, including transportation, hotels, and meals.
  • Coordinate and prepare for meetings with visitors by managing building access, booking conference rooms, setting up rooms, ordering meals, and greeting visitors in the lobby.
  • Liaise with administrative assistants globally to organize and prepare for leadership visits, onsites/offsites, conferences, and other events.
  • Coordinate team events and meetings, planning, controlling, and monitoring agendas and attendees of key meetings.
  • Support the onboarding of new hires in coordination with leaders as well as HR and IT.
  • Maintain office supplies.

Essential Skills

  • Minimum of two years of administrative experience, preferably in technology or insurance.
  • Proficiency in Microsoft Office Suite.
  • Strong organizational skills with the ability to manage various processes and controls.
  • High assertiveness and ability to work under pressure while staying organized.
  • Communication, facilitation, sales, and conflict management abilities.
  • Willingness to occasionally work outside of standard operating hours.

Additional Skills & Qualifications

  • University degree preferred or equivalent experience.
  • 5+ years of executive calendar management with multiple executives.
  • Team player mentality.
  • Ability to handle and assess competing or changing priorities.

Work Environment

This is a Contract to Hire position based out of Golden Valley, MN.
