Job Description
The Air Service Coordinator provides critical administrative and operational support to a fast-paced air service team. This role focuses on daily scheduling and coordination for multiple field technicians, acting as a central communication bridge between technicians, customers, and internal teams. The coordinator manages service requests, preventative maintenance schedules, inventory and parts coordination, work order processing in the ERP system, and timely invoicing. Success in this position requires strong prioritization skills, comfort with frequent interruptions, and a high sense of ownership over workflows and outcomes.
Responsibilities
- Coordinate daily schedules for multiple field technicians, ensuring efficient routing and coverage of service calls and preventative maintenance visits.
- Serve as the primary communication bridge between technicians, customers, and internal teams, relaying information clearly and promptly.
- Receive, prioritize, and dispatch service requests, including urgent and time-sensitive issues, to the appropriate technician or team.
- Manage preventative maintenance scheduling to ensure required services are completed on time and documented accurately.
- Coordinate inventory and parts, including checking availability, arranging pick-up or delivery, and tracking usage for service jobs.
- Process work orders within the ERP system, ensuring all job details, parts, and labor are accurately entered and updated.
- Support timely and accurate invoicing by reviewing work orders, confirming service completion, and submitting required documentation.
- Provide administrative support to the field-based service team, including follow-up communications, documentation, and record keeping.
- Handle escalated or time-sensitive customer issues professionally, collaborating with technicians and internal stakeholders to resolve them.
- Maintain organization and accuracy while managing multiple concurrent tasks, interruptions, and shifting priorities throughout the day.
- Proactively lead and manage workflows rather than waiting for direction, ensuring that service requests move smoothly from intake to completion.
- Collaborate closely with warehouse and parts personnel to align technician schedules with parts availability and logistical needs.
- Proven experience in dispatching, service coordination, logistics, or supporting field-based teams such as technicians, drivers, or service staff.
- Strong administrative support skills, including managing schedules, documentation, and follow-up tasks.
- Experience working with ERP systems to process work orders or related service and manufacturing workflows.
- Ability to prioritize and reprioritize quickly in a fast-paced environment with frequent interruptions.
- Strong attention to detail and accuracy when handling scheduling, data entry, and documentation.
- Confident, professional communication skills with both customers and internal technical teams.
- Ability to handle escalated or time-sensitive issues calmly and effectively.
- High sense of ownership and initiative, with the ability to lead workflows independently.
- Customer service mindset with a focus on responsiveness and follow-through.
- High school diploma required; additional education is a plus.
- Experience in a manufacturing or service-related environment is beneficial.
- Comfort working in evolving systems and processes, with a willingness to adapt to change.
- Ability to work collaboratively within a close-knit team environment.
- Strong organizational skills and the ability to manage multiple competing priorities.
This role is based in a smaller, close-knit service office located near a warehouse and parts area. The environment is lively and informal, with frequent technician foot traffic, regular interruptions, and ongoing in-person collaboration. The position suits someone who enjoys a hands-on operational atmosphere, values teamwork, and thrives in a dynamic setting with constant movement and energy.
Job Type & Location
This is a Contract to Hire position based out of Saint Louis, MO.
Pay and BenefitsThe pay range for this position is $25.00 - $30.00/hr.
