Job Title: Medical Assistant - Helena, Montana
Job Description
We are looking for a dedicated Medical Assistant to ensure optimal quality control and coordination of activities, focusing on appointment scheduling and patient communication. The Medical Assistant will work closely with the Lead Scheduler and play a crucial role in coordinating Veteran care with community providers, as well as managing patient information systems.
Responsibilities
- Assure optimum quality control and coordination of scheduling activities.
- Serve as the designated MSA scheduler/receptionist responsible for scheduling performance and coordination.
- Work with the Lead Scheduler to ensure timely and appropriate completion of patient communications.
- Coordinate and authorize Veteran care with external community providers.
- Communicate with internal medical providers regarding VA Community Care rules and regulations.
- Validate and update patient demographic information.
- Ensure integration of necessary health and administrative information into the Computerized Patient Record System (CPRS) and VistA upon receiving records.
- Process community care consults using HealthShare Referral Manager (HSRM) and Provider Profile Management System (PPMS) or other systems as needed.
- Screen and receive phone calls courteously and promptly.
- Respond to telephone inquiries regarding service delivery.
- Utilize Microsoft Office products daily, including Excel, Word, Outlook, and Microsoft Teams.
- Perform appointment scheduling, tracking, and pre/post-appointment contacts as required.
- Deliver quality customer service to all patients, patient families, VA staff, contractors, physicians, fellows, and residents.
Essential Skills
- Medical assisting and scheduling experience.
- High School education or GED equivalent.
- Basic medical terminology knowledge.
- Basic computer skills.
- Ability to type at least 50 WPM.
- Experience with EMR and electronic health records.
- Proficiency in medical terminology, medical reception, and care coordination.
- Proficiency in Microsoft Office products.
Additional Skills & Qualifications
- VA network access to use VistA, Health Share Referral Manager (HSRM), Enterprise Precision Scanning and Indexing (EPSI), Cisco (Call Center), CTM (Consult Tracking Manager), CPRS, PPMS, ICB (Insurance Capture Buffer), and ISS/VSE (Scheduling packages).
- Oral and written proficiency in English.
Work Environment
This position is based at the Helena VA Sleep Center, where you will work in a collaborative environment with advanced technology systems to support Veteran care. The role involves significant computer and phone use.
Schedule is 5x8s: 8AM - 4:30PM (with 30min lunch).
