Job Description
The Compliance Assistant supports the affordable housing compliance team by managing tenant documentation, assisting with certifications, and maintaining accurate digital records. This role combines administrative support, technology-based file management, and direct communication with tenants to ensure timely and accurate processing of move-ins and recertifications in a fast-paced environment with strong internal growth opportunities.
Responsibilities
- Assist with the preparation and processing of tenant certifications, including annual recertifications (ARs), interim recertifications (IRs), and move-in files.
- Maintain accurate, well-organized digital tenant files using SharePoint and internal systems.
- Upload, track, and manage documentation in systems such as PHA Web, Quo, and Jotform.
- Communicate directly with tenants via phone, email, text, and online platforms to gather required documentation and information.
- Follow up consistently with tenants and stakeholders to ensure timely completion of certifications and related tasks.
- Identify missing, incomplete, or inconsistent information in tenant files and escalate issues as needed to the appropriate team members.
- Support file reviews and audits by ensuring documentation is complete, accurate, and properly organized.
- Assist with compliance-related projects and administrative tasks as assigned.
- Work collaboratively with property managers and compliance staff to support overall compliance operations.
- Manage multiple priorities and tasks simultaneously while maintaining a high level of accuracy and attention to detail.
- Strong organizational skills with excellent attention to detail.
- Comfort using technology and navigating multiple software systems and online platforms.
- Strong verbal and written communication skills, especially when interacting with tenants.
- Persistence and follow-through to complete tasks and obtain required documentation.
- Ability to think critically while working within structured processes and guidelines.
- Reliable, self-motivated approach with the ability to work independently and as part of a team.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience with document processing and file management.
- Customer service skills, including professionalism and responsiveness.
- Data entry skills with a focus on accuracy.
- Proficiency with Microsoft Office and email.
- Administrative and clerical support experience.
- Basic understanding of compliance or willingness to learn compliance processes.
- Experience in affordable housing or property management (preferred, not required).
- Experience in a compliance-focused or documentation-heavy role (preferred, not required).
- Background in administrative support, clerical administrative work, or office administration.
- Comfort working with digital file systems such as SharePoint and similar platforms.
- Interest in building a long-term career with opportunities for internal growth.
The role offers an initial in-office training period to ensure strong onboarding and familiarity with systems and processes. After training, the position follows a hybrid schedule, typically with approximately two days per week in the office and three days working remotely. The work may include occasional site visits to properties as needed. The environment is fast-paced and technology-driven, with frequent use of digital platforms such as SharePoint, PHA Web, Quo, Jotform, Microsoft Office, and email. Job Type & Location
This is a Contract to Hire position based out of Hackensack, NJ.
Pay and BenefitsThe pay range for this position is $21.00 - $23.00/hr.
