Job Title: Grants and Contracts Specialist


Job Description

The Grants and Contracts Specialist plays a vital role in the creation of subaward agreements issued under Federal, State, non-profit, and for-profit sponsors. This position involves consulting, collecting, and reviewing necessary information to initiate records and communicate with Subawardee Institutions, internal departments, and relevant parties for clarifications or status updates on sponsor approvals. The specialist also responds to requests and questions related to subaward issues for assigned departments.


Responsibilities

  • Consult and review information for the creation of subaward agreements.
  • Initiate records and communicate with Subawardee Institutions and internal departments.
  • Respond to requests and questions related to subaward issues.
  • Work closely with Grants and Contract Analysts to review clinical trial contract agreements.
  • Assist in the creation and distribution of invoices, ensuring timeliness and accuracy.
  • Facilitate clinical trial billing and track payments.
  • Address collection issues by tracking payments and analyzing account receivable balances.
  • Log payments into OnCore CTMS.
  • Assist with clinical trial billing to third-party payors.
  • Resolve outstanding sponsor or vendor invoices.
  • Ensure protocol and subject-related milestone invoices are completed efficiently.

Essential Skills

  • 0-2 years of related experience in a healthcare or academic environment.
  • Detail-oriented with effective oral and communication skills.
  • Computer literate with proficiency in Microsoft Word, Excel, Access, and PowerPoint.
  • Experience with OnCore CTMS is preferred.

Additional Skills & Qualifications

  • Experience at a non-profit or higher education medical center is preferred.
  • Additional related experience may be substituted for the degree on a year-for-year basis.

Work Environment

The work environment is dynamic, involving a team of two responsible for all subawards, managing approximately 1,000 actions per year. The role includes creating new agreements for subcontractors and modifying existing subawards, overseeing operations in Camden and New Brunswick. Funding is sourced from government sponsors, foundations, and the private sector, including entities like Merck and Lockheed Martin. The position offers a hybrid schedule with the ability to work from home four days a week. Employees have access to comprehensive benefits, tuition reimbursement, and free events on-site.
