Job Title: Part-Time Accounting/Office Admin


Job Description

As an Office Assistant, you will play a crucial role in managing accounts receivable and payable, invoicing customers, ensuring timely collections, and processing vendor payments. You will also be responsible for entering and developing sales and work orders, assisting with quote generation, and supporting trade compliance by maintaining export paperwork. Your role will involve data input into our ERP system, maintaining accurate inventory and production records, and interacting with customers and vendors to resolve issues efficiently.


Responsibilities

  • Manage accounts receivable and accounts payable.
  • Invoice customers and ensure on-time collections.
  • Pay vendor invoices and track payment schedules.
  • Enter and develop sales orders and work orders.
  • Assist with quote generation for customers.
  • Support trade compliance by completing and maintaining export paperwork.
  • Input data into our ERP system, preferably Fishbowl.
  • Maintain accurate records of inventory and production.
  • Interact with customers and vendors to resolve issues.

Essential Skills

  • High school diploma or equivalent.
  • Proficiency in QuickBooks Online.
  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Experience with ERP systems, Fishbowl experience is a plus.
  • Strong attention to detail.
  • Clear written and verbal communication skills.
  • Ability to work independently and prioritize tasks.
  • 1-2 years of experience in an office setting.

Additional Skills & Qualifications

  • Familiarity with manufacturing environments.
  • Experience in defense manufacturing or ITAR compliance.
  • Data entry skills.
  • Customer service skills.

Work Environment

This is a part-time hybrid position, requiring 20 hours per week with flexible hours. The preferred working hours are in the morning shift from 8 am to 12 pm. The role entails administrative support and involves working in a manufacturing environment, with a preference for candidates familiar with defense manufacturing or ITAR compliance. Dress code is business casual.P
