Job Title: Part-Time Administrative Assistant
Job Description
We are seeking a dedicated and detail-oriented Part-Time Administrative Assistant to join our team. This role requires someone with a strong background in office administration and a keen eye for detail, especially in a construction company setting. The ideal candidate will have experience in data entry and be comfortable with 20-25 hours of work per week.
Responsibilities
- Generate, customize, oversee, and monitor invoices using QuickBooks.
- Assist in documentation and tracking of invoice submittal statuses using multiple online platforms.
- Maintain multiple hard copy files, ensuring proper statuses are used.
- File documents throughout the day and arrange electronic files.
- Follow up on multiple tasks and ensure deadlines are met.
- Address and respond promptly to inquiries from various clients.
- Communicate effectively in a team environment.
- Take notes during meetings and training sessions for future reference.
Essential Skills
- At least 1 year of office experience, preferably in a construction company.
- Proficiency in Microsoft Office Suite: Word, Excel, and Outlook.
- Strong customer service skills.
- Computer savvy with good data entry skills.
- Detail-oriented with strong organizational skills.
Additional Skills & Qualifications
- Experience in an administrative role, preferably in the construction industry.
- Experience with QuickBooks is a plus but not required.
- Recent high school, college, or vocational school graduates are encouraged to apply.
Work Environment
This is a part-time position, requiring 20-25 hours per week. The role involves working in a collaborative team environment, with a focus on efficiently managing administrative tasks. The dress code is business casual.
