Bookkeeper/Office Manager


Job Description

The Bookkeeper/Office Manager will be responsible for managing the company’s day-to-day financial transactions, office organization, and administrative tasks. This is a hands-on position that involves balancing bookkeeping with general office management duties to support the company's operations and ensure a smooth workflow. This role will start out as a part-time position working 3 days a week. It will eventually turn into a full time position.


Responsibilities

  • Process payroll efficiently and accurately.
  • Enter deposits and expenses into QuickBooks.
  • Manage accounts payable and receivable.
  • Conduct job costing and Work in Progress (WIP) tracking.
  • File and pay monthly and quarterly liabilities, employer withholding, sales tax, and Bureau of Workers' Compensation (BWC).
  • Reconcile bank, credit card, and vendor accounts.
  • Prepare and send customer estimates and invoices.
  • Track job flow and progress.
  • Enter orders and manage purchasing of materials.
  • Handle phone duties with professionalism.
  • Maintain office organization and efficiency.

Essential Skills

  • Proficient in QuickBooks Desktop Pro 2017 or other recent Desktop versions.
  • Experience with Windows 10, Excel, and Word.
  • Strong organizational skills and attention to detail.
  • Ability to maintain a positive attitude while working with deadlines, interruptions, and unexpected situations.
  • Reliable transportation.

Additional Skills & Qualifications

  • 5 years of experience as an Office Manager or Office Assistant, including payroll processing and tax filings.
  • Experience working in a small business or startup environment.
  • Proficiency in Microsoft Office Suite, including Excel and Word.

Work Environment

The work environment is casual and relaxed, starting out as three days a week, with the potential to increase to four to five days in the future. This is a small manufacturing facility with a close-knit team and a good culture, offering room for growth.
