Job Title: Dispatcher
Job Description
The Dispatcher supervises, schedules, and dispatches drivers, vehicles, or equipment to appropriate locations according to predetermined schedules, customer requests, or immediate needs. The role involves relaying work orders or other messages to and from drivers, supervisors, or emergency personnel using telephones, two-way radios, emails, or text messages. The coordinator communicates with supervisors or customers to resolve problems, requests for services, or equipment, and prepares daily schedules and work orders for drivers. Maintaining and organizing dispatch requests and ensuring fleet and drivers meet regulatory requirements are key responsibilities. Approximately 70% of the job will be dispatching and roughly 30% will be administrative tasks, including reporting within Google Sheets, mapping in Google Maps, and documenting within their ERP system (ROM) while supporting shipping/receiving administrative tasks.
Responsibilities
- Supervise, schedule, and dispatch drivers and vehicles to appropriate locations.
- Relay information to and from drivers, supervisors, or emergency personnel.
- Communicate with employees primarily via phone.
- Resolve problems, requests for services, or equipment with supervisors or customers.
- Prepare daily schedules and work orders for drivers.
- Maintain and organize dispatch requests and customer requests.
- Schedule maintenance for the fleet.
- Track trucks, trailers, bins, and other trucking division assets.
- Ensure fleet and drivers meet regulatory requirements.
- Perform project management as needed.
- Provide coverage for administrative responsibilities as needed.
- Seek out ways for continuous process improvements.
- Maintain punctual, regular, and predictable attendance.
- Collaborate in a team environment with a spirit of cooperation.
- Respectfully take direction from the manager.
- Perform other duties as assigned.
Essential Skills
- 2 years of dispatching experience, project coordination, or relatable administrative experience.
- High school diploma or GED required; associate's degree preferred.
- High attention to detail and accuracy in documentation.
- Direct communication skills and excellent follow-up.
- Valid driver's license, acceptable driving record, and automobile liability coverage or access to an insured vehicle.
Additional Skills & Qualifications
- Experience with logistics, customer service, data entry, dispatch customer service, and logistics coordination.
- Proficiency in phone communication, Outlook, shipping and receiving, transportation, and order entry.
Work Environment
The position requires working 3 days a week in Tualatin, 1 day in Portland, and 1 day in Hillsboro, with some flexibility after training. It involves a 90-day training period focused on successfully dispatching and building relationships with drivers. The work schedule is an 8-hour shift, Monday to Friday, in person.
