Job Description
The Administrative Office Coordinator provides comprehensive administrative support to office staff and serves as a key point of contact for employees and visitors. This role manages front desk operations, coordinates communications, and supports daily office activities to ensure a professional, efficient, and well-organized work environment.
Responsibilities
- Perform reception duties, including greeting employees and visitors in a professional and welcoming manner.
- Answer and direct telephone calls promptly and accurately, and deliver messages to appropriate staff members.
- Schedule and coordinate conference calls, ensuring all participants have the necessary information and materials.
- Coordinate incoming and outgoing mail, including sorting, distributing, and preparing items for shipment or delivery.
- Assist with coordinating and arranging lunches and related office events as needed.
- Provide general administrative support to staff, including document preparation, copying, filing, and data entry.
- Maintain an organized front desk and office environment to support efficient daily operations.
- Prioritize and manage multiple tasks in a fast-paced environment while meeting deadlines.
- Communicate clearly and professionally in both verbal and written formats with internal and external contacts.
- Support office administration activities and collaborate with team members to ensure smooth workflow.
- A minimum of 3 years of experience in administrative support or a similar office-based role.
- Proficiency with Microsoft Office, including strong knowledge of Word and Outlook.
- Excellent verbal and written communication skills.
- Demonstrated ability to prioritize and handle multiple tasks in a fast-paced environment.
- Strong organizational skills with a high level of attention to detail.
- Self-motivated and able to work independently while supporting a broader team.
- Ability to consistently meet deadlines.
- Experience working in an office environment, including front desk and general administration duties.
- High school diploma or equivalent.
- Associate degree preferred.
- Knowledge of the architecture and engineering (A/E) industry is desired.
- Professional demeanor with a customer-focused approach.
- Ability to maintain confidentiality and handle sensitive information appropriately.
This position is based in a professional office setting with regular front desk and reception responsibilities. The role involves frequent interaction with employees, visitors, and callers, requiring a polished and courteous presence at all times. The Administrative Office Coordinator uses standard office equipment and Microsoft Office applications, particularly Word and Outlook, throughout the day. The work environment is fast-paced and requires effective multitasking, organization, and time management to handle shifting priorities and deadlines.
Job Type & Location
This is a Contract to Hire position based out of Columbia, SC.
Pay and BenefitsThe pay range for this position is $24.04 - $28.85/hr.
