Job Description
As a Project Coordinator, you will provide high-level administrative project support across multiple disciplines. You will participate in and facilitate remote collaboration, including conference calls and online meetings. Your role will involve assisting with invoicing, budgeting, planning, tracking spending, and developing spending projections, as well as analyzing accounting information and developing methods for presenting this information.
Responsibilities
- Monitor, track, and file large amounts of electronic documentation.
- Assist in the management, upkeep, and distribution of project schedules.
- Provide support in the local Quality Program by documenting the performance of Management and QC Reviews, and generating and updating relevant QA/QC documentation.
- Assist with the development and maintenance of the project filing structure.
- Apply company quality assurance guidelines and procedures for project document management.
- Copy and/or scan project-related documents in-house and coordinate sending out larger jobs.
- Assist with project guides, project reviews, project invoices, and expense reports as needed.
- Compose, type, format, proofread, edit, and organize documents, reports, specifications, and correspondence.
- Create and maintain paper and electronic files.
- Coordinate meetings and assist with presentations.
- Perform other duties as needed.
- Archive closed projects.
- Occasional travel may be required.
- Project coordination experience, especially in construction and administration.
- Experience with construction scheduling and project management.
- Strong organizational, verbal, and written communication skills.
- Proficiency in software applications, including Power Automate, Microsoft BI, Adobe Acrobat, Outlook, MS Project, Word, and PowerPoint.
- Expertise in MS Excel.
- Familiarity with collaboration products such as OneDrive, MS Teams, and OneNote.
- Ability to perform diversified clerical functions and basic accounting procedures.
- Ability to prioritize competing demands in a fast-paced environment.
- Previous experience in architecture or engineering.
- Experience with document management software such as Bentley ProjectWise, E-builder, or Document Express.
- Experience with Microsoft Project or other scheduling software.
- A self-starter with the ability to work with minimal direction.
- Team-oriented and able to work with different personalities and styles.
- An attitude and commitment to being an active participant in an employee-owned culture.
This role is based in Brentwood, TN, with a high demand for this location. There is also an opportunity in downtown Nashville. The work environment is fast-paced, requiring the ability to manage multiple priorities effectively. Occasional travel may be required.
Job Type & Location
This is a Permanent position based out of Brentwood, TN.
Pay and BenefitsThe pay range for this position is $25.00 - $35.00/hr.
