Job Title: Administrative Assistant


Job Description

We are seeking a proactive and detail-oriented Administrative Assistant to support our service operations. This role is perfect for an individual who is organized, self-motivated, and comfortable managing multiple responsibilities in a dynamic environment. Strong computer skills, customer service abilities, and phone etiquette are essential for success in this position.


Responsibilities

  • Answer incoming service calls promptly and professionally.
  • Coordinate on-call scheduling to ensure smooth operations.
  • Track equipment arrivals and maintain accurate records.
  • Maintain and update inventory sheets to reflect current stock.
  • Issue purchase order (PO) numbers as required.
  • Communicate effectively with internal teams and external vendors.
  • Utilize third-party billing portals for invoicing and tracking purposes.
  • Perform general administrative tasks as needed to support the team.

Essential Skills

  • Proficiency in customer service and clerical tasks.
  • Experience with Microsoft Office, including Excel and Outlook.
  • Familiarity with third-party billing systems.
  • Strong organizational skills and experience in filing and calendar management.
  • Excellent administrative and support skills.

Additional Skills & Qualifications

  • Experience with scanning and front desk operations.
  • Ability to manage multiple tasks effectively.
  • Prior experience in a similar role within a service-oriented business.
