Job Description
The Document Control Assistant will play a crucial role in organizing and managing documents, primarily drawings, for the Design & Drafting department. The specialist will oversee the entire lifecycle of documents, from creation to storage, in alignment with company standards. This role involves supporting projects by communicating with project managers, engineering firms, operations, and other team members.
Responsibilities
- Manage the lifecycle of documents in compliance with company standards.
- Communicate with project managers, engineering firms, operations, and project team members.
- Fulfill drawing requests and ensure their accuracy and completeness.
- Research and import existing drawings into Adept, the Electronic Document Management System (EDMS).
- Collaborate with project managers and third-party firms to provide necessary drawings for projects.
- Work with the internal design team to supply drawings for in-house projects.
- Plan and implement drawing migration from multiple server locations into EDMS.
- Respond to information inquiries and provide accurate and timely responses.
- Evaluate returned drawings to ensure they meet company standards.
- Collect, retain, retrieve, distribute, and transmit project documents.
- Maintain the integrity and standards of all regulated documentation, ensuring quality control.
- 0 - 2 years of experience or equivalent work experience in AutoCAD, organizing and editing utilizing EDMS, preferably Synergist Adept.
- Proficient in maintaining and processing drawing and drawing number requests within EDMS.
- Experience in filing and scanning documents into an electronic document management system such as Adept or SharePoint.
- Strong problem-solving skills with attention to detail.
- Flexibility to manage changing priorities and deadlines.
- Effective teamwork skills, contributing to departmental and team goals.
- Proactive with strong oral and written communication skills.
- Ability to handle multiple assignments simultaneously.
- Excellent computer systems skills, including Microsoft Office.
- Strong interpersonal skills and ability to work with diverse groups and individuals.
- Experience working with third-party firms managing AutoCAD files.
- Experience correcting AutoCAD files as needed.
- Ability to research, analyze, and identify solutions to issues.
- Positive attitude, professionalism, and strong work ethic.
The position is based in Houston, Texas. It offers a flexible start time, covered parking, 80 hours of paid time off, and 6 paid holidays. This is a long-term opportunity with a supportive work culture.
Job Type & Location
This is a Contract to Hire position based out of Houston, TX.
Pay and BenefitsThe pay range for this position is $20.00 - $22.00/hr.
