The Project Coordinator plays a pivotal role in supporting project teams to successfully execute external client projects. This role involves effective communication with Project Managers, team members, clients, vendors, and support teams to achieve project goals. The Coordinator is responsible for utilizing project management software, Procore, and supporting documentation and communication processes. This position provides essential administrative, document, and procurement management support.
Responsibilities- Assist with new opportunity processes and proposal coordination.
- Serve as the primary Project Coordinator point of contact on assigned projects.
- Act as the Procore Support Coordinator, ensuring effective use and understanding of the tool by the team.
- Coordinate activities and processes associated with Procore for both local and regional projects.
- Provide document control support by preparing, editing, proofreading, and finalizing documents for storage in Procore.
- Coordinate the documentation of transmittals, engineering drawings, specifications, scopes of work, and reports within Procore before distribution.
- Support the project team by regularly reporting project status.
- Coordinate RFIs and Submittals for the project.
- Manage the procurement and contracting of Subconsultants and Subcontractors, including updating insurance certificates and assisting with closeout document requests.
- Assist in coordinating the bidding process, including entering Bid Packages in Procore and following up with contractors.
- Support Project Managers with project updates for internal leadership and clients by compiling reports through project management systems.
- 5+ years of project coordinator experience, preferably in engineering or construction teams.
- Ability to work both independently and in a team setting.
- Advanced proficiency in all Microsoft Office programs (Excel, PowerPoint, Outlook, Word, etc.).
- Expertise with web-based applications.
- Strong written and verbal communication skills.
- Experience with Procore or other project management software is preferred.
- Experience with project reporting.
- Willingness and ability to travel as necessary for project requirements, including project installation, start-up activities, client meetings, and industry-related events.
The position ideally requires the candidate to be based in San Antonio to collaborate closely with the other coordinator.
Job Type & LocationThis is a Contract position based out of San Antonio, TX.
Pay and BenefitsThe pay range for this position is $24.00 - $32.00/hr.
