This full-time contract position, located in Kent, WA, serves as an Administrative Services Assistant 2, also known as a Field Clerk. The role involves providing administrative and confidential support to the Covington District Operations & Maintenance Manager in Transmission Field. Additionally, this position offers backup assistance to other Field Clerks and acts as a liaison between organizations, work units, and management support staff.
- Provide a wide variety of confidential administrative and clerical tasks for managers and staff.
- Greet and screen visitors, address questions, take messages, set appointments, and refer visitors as needed.
- Build, maintain, and post Excel spreadsheets and PowerPoint presentations to SharePoint sites.
- Proof, review, and draft correspondence and documents, ensuring compliance with administrative policies.
- Provide recommendations to maintain conformance with general policies and correspondence procedures.
- Attend meetings, record minutes, and distribute them as necessary.
- Maintain a tracking system for action items to ensure timely compliance with scheduled responses.
- Answer and screen telephone calls, respond to inquiries, and forward matters to appropriate personnel.
- Process and screen incoming and outgoing correspondence, proofreading as necessary.
- Establish and maintain communication channels for smooth information flow.
- Perform faxing, scanning, photocopying, and coordinate printing services.
- Serve as backup to other Administrative Assistants/Field Clerks as needed.
- Coordinate managers’ daily Outlook calendars and schedules.
- Organize, plan, prioritize, coordinate, schedule, and verify appointments and meetings.
- Assist in preparing and processing travel authorizations and vouchers.
- Coordinate Time & Attendance according to established procedures.
- Provide administrative support to staff, acting as a liaison with HR, IT, and other departments.
- Coordinate and track employee medical surveillance appointments.
- Manage records in compliance with governance and lifecycle management policies.
Qualifications
- 6 years of demonstrated administrative/clerical experience.
- 4 or more years of relevant work experience with Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
- Intermediate to advanced skills with SharePoint or similar systems for site management.
- High school diploma or equivalent is required.
- Associate’s or Bachelor’s Degree in Office Administration/Management, Business Administration/Management, or a related field is preferred.
Work Environment
The Transmission Field organization comprises various skilled crafts responsible for the planned and emergency operations and maintenance of BPA’s transmission grid. The work environment is a slower-paced office setting with somewhat flexible hours and business casual attire. The role requires independent work style with minimal supervision, focusing on deadline-driven tasks and frequent interaction with District Managers and external support staff.
Job Type & LocationThis is a Contract position based out of Kent, WA.
Pay and BenefitsThe pay range for this position is $30.00 - $35.00/hr.
