Administrative Assistant (Contract)

Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.

Summary:
This position offers an exciting opportunity to provide high-level administrative support to executive leadership within a dynamic enterprise solutions environment. The successful candidate will serve as a critical liaison, managing complex scheduling demands, coordinating travel logistics, and ensuring seamless day-to-day operations for senior leadership. This role requires exceptional organizational abilities, proactive problem-solving skills, and the capacity to handle multiple priorities simultaneously while maintaining meticulous attention to detail. The position demands a professional who can anticipate needs, exercise sound judgment, and maintain confidentiality while working in a fast-paced, collaborative setting.

Job Responsibilities:
  • Manage complex calendars, including scheduling meetings, resolving conflicts, and coordinating calendar requests across multiple time zones
  • Submit and process expense reports following travel and business activities
  • Coordinate travel arrangements, including flights, accommodations, and ground transportation
  • Process equipment requests and manage administrative logistics for the leadership team
  • Coordinate meetings and events, including booking conference rooms and managing logistics
  • Support department financial operations and personnel-related administrative tasks
  • Complete special projects as assigned by leadership
  • Serve as a point of contact for internal and external stakeholders
  • Maintain organized records and documentation for leadership activities
Requirements:
  • Minimum 1 year of administrative, business support, or customer service experience
  • Previous experience in an environment emphasizing scheduling meetings and events
  • Background in travel management and coordination
  • Experience supporting executive-level leadership preferred
  • Prior experience working in large corporate environments highly preferred
  • Advanced calendar management and scheduling coordination
  • Proficiency in Microsoft Outlook for email and calendar functions
  • Strong written and verbal communication abilities
  • Exceptional organizational and time management capabilities
  • Ability to prioritize competing demands and manage multiple tasks simultaneously
  • Problem-solving skills with attention to detail
  • Discretion and ability to handle confidential information
  • Responsiveness and punctuality in all communications
  • Familiarity with internal corporate tools and systems
  • Proactive approach to anticipating leadership needs
Additional Details:
  • Location: Remote
  • Duration: 4 months
  • Pay Range*: $21 - $24 per hour
  • Weekly Schedule: 40 hours
  • Job Status: Non-Exempt
