Administrative Assistant (Contract)

Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.

Summary:
This position provides essential operational and logistical support to a dynamic team focused on driving employee engagement across a specialized organization. The successful candidate will serve as a critical partner in ensuring the seamless execution of programs, events, and initiatives that strengthen culture, collaboration, and organizational connection. This hands-on role requires managing day-to-day administrative operations, coordinating with multiple stakeholders, and supporting high-impact initiatives that directly influence workplace culture. The position demands a proactive professional who can navigate ambiguity, maintain confidentiality, and deliver reliable support in a fast-paced corporate environment where attention to detail and follow-through are paramount.

Job Responsibilities:
  • Manage day-to-day administrative operations to ensure smooth execution of programs and events
  • Coordinate scheduling, meetings, and communications across the team and with stakeholders
  • Book and manage vendors, including negotiating logistics and tracking associated expenses
  • Track budgets, invoices, and expenses for activities, ensuring accurate reporting and reconciliation
  • Maintain task lists, monitor project progress, and provide updates to leadership
  • Pull and consolidate reports, status updates, and metrics to support team decision-making and leadership reviews
  • Support preparation of materials for presentations, meetings, and events, ensuring accuracy and timeliness
  • Serve as the point of contact for internal and external partners, ensuring seamless coordination and follow-up
  • Provide hands-on support during event execution to ensure programs run smoothly from start to finish
Requirements:
  • 2+ years of administrative support experience in a corporate environment
  • 1-2 years of experience booking vendors and coordinating events or programs
  • 2+ years of practical experience using Microsoft Office and collaboration tools for reporting and documentation
  • Experience supporting employee engagement, human resources, or executive teams preferred
  • Background in administrative support, office management, or operations
  • Bachelor's Degree in Business, Operations, Administration, or a related field, or equivalent experience
  • Strong organizational and time management abilities with capacity to manage multiple priorities
  • Proficiency in Microsoft Office Suite including Excel, PowerPoint, Teams, Outlook, and OneNote
  • Experience with collaboration tools such as SharePoint
  • Excellent verbal and written communication skills with attention to detail
  • Ability to work both independently and collaboratively across teams
  • Vendor management and negotiation capabilities
  • Budget tracking and financial reconciliation skills
  • Report generation and data consolidation abilities
  • Problem-solving skills with comfort navigating ambiguous situations
  • Trustworthy with ability to maintain confidentiality and demonstrate integrity
Additional Details:
  • Location: Redmond, WA (Onsite)
  • Duration: 17 months
  • Pay Range*: $30 - $34 per hour
  • Weekly Schedule: 40 hours
  • Job Status: Non-Exempt
