The role requires an experienced professional who can expertly manage complex calendaring needs for multiple senior leaders while maintaining exceptional organizational standards. Working in a fast-paced environment, this individual will serve as a trusted partner to directors and their teams, handling sensitive information with discretion and demonstrating strong executive presence. The position demands someone who can balance competing priorities, adapt quickly to new tools and processes, and communicate effectively across a global organization. Job Responsibilities:
- Manage complex calendars for three Directors, ensuring accuracy, timeliness, conflict resolution, and alignment with leadership priorities and commitments
- Provide backup support to the General Manager's Executive Assistant, including calendar management when needed
- Coordinate team support activities including distribution list management, space management, office moves, new hire onboarding, and equipment procurement
- Plan and coordinate purchasing of equipment, services, and supplies, including creating purchase orders and processing invoices
- Collaborate on planning and execution of All Hands meetings, morale events, and other group gatherings
- Coordinate and book international travel arrangements for leadership
- Process and reconcile expense reports with accuracy and timeliness
- Collaborate with Business Managers, Admins, partnering teams, and Leadership Team members on projects and operational activities
- Ensure compliance with administrative operations policies and procedures
- Handle highly sensitive and confidential information with professionalism and discretion
- Support additional projects as business needs arise
- Lift and carry materials weighing up to 50 pounds as needed for equipment setup and office support
- Five or more years of administrative, business support, or customer service experience with emphasis on executive-level scheduling, travel management, and event coordination
- Five or more years of hands-on experience with Microsoft products and enterprise tools including Employee Central, MyOrder, ProcureWeb, IDWeb, MyExpense, and MSTravel
- Three or more years of experience planning events and managing travel and expense processes
- Prior experience working in a Microsoft environment is required
- Three or more years of project management experience preferred
- Bachelor's Degree in Business Administration, Human Resources, Marketing, Communications, Psychology, Sociology, or related field, or equivalent experience
- Physical ability to lift and move materials weighing up to 50 pounds
- Willingness to work onsite in Redmond, Washington as needed, with flexibility for hybrid arrangements
- Expert-level calendar management and scheduling coordination
- Advanced proficiency in Microsoft suite including Outlook, Word, Excel, and PowerPoint
- Strong organizational and time management abilities
- Excellent written and verbal communication skills
- Ability to exercise sound judgment and discretion with confidential information
- Strong problem-solving and conflict resolution capabilities
- Ability to work independently while maintaining alignment with leadership

- Duration: 18 months
- Pay Range*: $30 - $34 per hour
- Weekly Schedule: 40 hours
