Summary:
This position provides high-level administrative support to senior leaders in a dynamic, fast-paced global environment. Acting as a trusted partner to one or two senior managers, this individual will serve as the central point of coordination for day-to-day operations, ensuring seamless execution of executive priorities across multiple regions. The role requires exceptional organizational abilities, strong business acumen, and the capacity to manage competing demands while maintaining professionalism and discretion. Success in this position depends on the ability to anticipate needs, exercise sound judgment, and build effective relationships with stakeholders at all levels of the organization.

Job Responsibilities:
- Manage executive-level calendars with precision, coordinating complex scheduling across multiple time zones and competing priorities
- Process expense reports and coordinate comprehensive travel arrangements for domestic and international business needs
- Triage incoming emails and requests, determining priority and appropriate distribution or response
- Prepare and organize agendas, materials, and logistics for committee, board, and leadership meetings
- Participate in leadership meetings to capture action items and ensure follow-through on key decisions
- Prepare invoices, reports, memos, letters, financial statements, and other business documents as needed
- Maintain organized records management systems and ensure confidential information is properly secured
- Collaborate effectively with the broader administrative team to support cross-functional initiatives
- Provide recruitment-related coordination and administrative support as needed
- Perform general office duties including ordering supplies and maintaining basic bookkeeping records
- Read and analyze incoming communications to assess significance and plan appropriate distribution
- Minimum 5-7 years of professional administrative experience in a corporate environment
- Proven experience providing executive-level administrative support to senior leaders
- Demonstrated experience with complex calendar management and scheduling coordination
- Extensive experience managing travel arrangements and expense processing
- Experience working in recruitment coordination or related administrative support functions strongly preferred
- Advanced proficiency in Microsoft 365 suite including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint
- Exceptional verbal and written communication skills with ability to interact professionally with senior stakeholders
- Strong multi-tasking abilities and capacity to manage competing priorities in a fast-paced environment
- Excellent customer service orientation and interpersonal skills
- Ability to work independently, exercise sound judgment, and manage time effectively
- High level of discretion and ability to maintain confidential information
- Strong organizational skills with meticulous attention to detail
- Proactive problem-solving abilities and capacity to anticipate needs
- Location: Redmond, WA (Hybrid: 2-3 days a week)
- Duration: 3 months
- Pay Range*: $30.50 - $35 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
