Job Description

We are seeking a highly motivated and customer-obsessed Executive Assistant to support a Director. This role is crucial, requiring a strong focus and execution as it involves managing a high volume of tasks such as complex calendar management, handling travel arrangements, and monitoring key priorities. You will be responsible for ensuring the Director's office runs smoothly, including managing emails and acting as a proxy when necessary.

Responsibilities

  • Manage complex calendar schedules and prioritize tasks effectively.
  • Coordinate travel arrangements and handle travel expenses and visa requirements.
  • Monitor and track key meetings, priorities, and emails, ensuring timely follow-up and preparation for the Director.
  • Act as a proxy for the Director when necessary, making smart and timely decisions.
  • Handle confidential information with high levels of integrity and discretion.
  • Provide administrative support, ensuring all tasks and projects are completed with impeccable attention to detail.

Essential Skills

  • Experience supporting senior management, including VPs, senior VPs, or CEOs.
  • Impeccable attention to detail and the ability to complete tasks with little guidance.
  • Exceptional verbal and written communication skills.
  • Proficiency in Microsoft Office and Outlook tools.
  • Ability to react with appropriate urgency to situations and events.

Additional Skills & Qualifications

  • At least two years of college education required; a bachelor's degree is preferred.
  • Strong working knowledge of calendar management and visa planning.
  • High degree of professionalism in dealing with senior professionals.

Work Environment

This position is fully onsite in Seattle, supporting two executives, including handling calendar management and scheduling conflicts. You will manage travel bookings, including flights and accommodations, and handle executives' expenses. The role offers a chance of extension or conversion based on business needs. The business operates across borders, providing opportunities to engage with stakeholders and customers worldwide.

This is a Contract position based out of Seattle, WA.

Pay and Benefits

The pay range for this position is $26.00 - $26.00/hr.
