Job Description
We are seeking a detail-oriented Construction Administrator to support day-to-day operations, including accounts and payroll processing, permit coordination, and construction documentation. This role is essential in assisting project teams and office leadership to maintain compliance, documentation, and financial organization from preconstruction through project closeout. This position is ideal for individuals who excel in balancing multiple priorities and enjoy supporting both field and office teams within a fast-paced construction environment.
Responsibilities
- Process accounts payable, including vendor invoices, purchase orders, subcontractor invoices, and coding for job cost tracking.
- Support accounts receivable tasks such as billing support, lien release tracking, and customer/vendor follow-ups.
- Assist with weekly/biweekly payroll support, including timesheet collection, verification of hours, job coding, and coordination with payroll provider/accounting.
- Track and maintain documentation for Certificates of Insurance (COIs), W-9s, and vendor/subcontractor compliance and onboarding.
- Coordinate with project teams to ensure accurate cost coding, approvals, and timely processing.
- Support project teams with permit application tracking, renewals, and documentation requirements.
- Coordinate with municipalities/jurisdictions on submittal requirements, status updates, and inspection scheduling support.
- Maintain organized permit logs and ensure documents are accessible to internal teams.
- Assist with project documentation processes, including RFIs, submittals, meeting minutes, and daily logs.
- Create and maintain consistent project folders and naming conventions.
- Support project closeout documentation, including O&M manuals, warranties, as-builts, and punchlist tracking support.
- Prepare internal/external reports, tracking logs, and document packages for clients and stakeholders.
- 2+ years of experience in an administrative role supporting construction, engineering, or field operations.
- Experience with accounts payable/accounts receivable processes and comfort working with financial data.
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities.
- Familiarity with construction documentation workflows, such as RFIs, submittals, and closeout processes.
- Experience supporting construction payroll, with union or prevailing wage knowledge being a plus.
- Experience with systems such as Procore, Bluebeam, PlanGrid/Autodesk Build, and Aconex.
- Familiarity with accounting software such as Sage, QuickBooks, Viewpoint, or Spectrum.
- Understanding of permitting processes is helpful but not required.
The position is based onsite at the main office in Tukwila, working primarily with ownership and project management teams. It offers a growing environment with opportunities to advance into roles with added responsibilities around project management.

This is a Contract to Hire position based out of Tukwila, WA.
Pay and BenefitsThe pay range for this position is $25.00 - $30.00/hr.
